Job summary

American Heart Association is seeking an Event Planning Coordinator in our Arlington, VA office to support campaign events in the Greater Washington Region. This role involves coordinating event logistics, vendor management, and data handling for fundraising activities.

You will assist with financial processes, reporting, and cross-team collaboration to advance our mission and ensure successful events across multiple platforms. Travel for events and meetings is required.

Qualifications

• Must have earned a high school diploma or equivalent.
• Experience in administrative work, project coordination or event management systems is preferred.
• Proficient in PowerPoint, Word and Excel; ability to manage multiple tasks.

Responsibilities

• Coordinate logistical aspects of events from planning through execution.
• Research, secure and manage vendors; coordinate venues, catering, AV and staging within guidelines.
• Implement risk reduction procedures for each event and recruit/train volunteers.
• Attend events to oversee setup, execution and teardown; act as liaison for attendees and sponsors.
• Prepare ADA-compliant digital event communications with marketing teams; support virtual events as needed.
• Manage event data including guest information, donations and revenue tracking; generate reports.
