Job summary

The Salvation Army in Portland, ME is seeking a Database Entry Specialist to ensure donor data is accurate and useful. You will process gifts, maintain donor records, run reports, and support staff with the database system while engaging in light donor research when needed.

Working in the Development Department, you will collaborate with the Manager of Annual Fund and Advancement Services and other teams to ensure reliable data for decision making and reporting.

Qualifications

• Ability to work within CRM and database environments.
• Proficient in Microsoft Suite, especially Excel and Word.
• Thoroughness, accuracy, and detail oriented.
• Peripheral knowledge of basic accounting/bookkeeping.

Responsibilities

• Process credit card donations and gift entries daily, with accuracy and consistency.
• Update and maintain donor records, including contact information, giving history, and database status.
• Run reports for corps locations and internal teams, covering financial, donor inquiry, and historical needs.
• Train and support staff on database features, structure, and data entry procedures.
• Conduct light constituent research to fill in missing information such as addresses, phone numbers, and best contact details.
• Respond to donor inquiries related to online giving and resolve issues as they come up.
• Validate and process employee giving and matching gift submissions.
• Coordinate matching gift information and share it with the appropriate internal contacts, including corps officers, the major gifts team, and the corporate donor specialist.
• Support all online gift processing and provide assistance to staff as needed.
• Perform other duties as assigned by the Manager of Annual Fund or the Divisional Development Director.
