Role summary:
This person will report directly to the Process Engineering Manager and supports engineering, commissioning, validation, and operations teams by managing the approval, release, and storage of technical documentation through its full lifecycle and into ongoing facility operations. The Specialist oversees document workflows from creation through approval, release, distribution, and archival, ensuring compliance with internal standards and regulatory requirements. In addition to managing the document control system, this role supports technical teams by editing, formatting, and standardizing technical deliverables such as specifications, protocols, reports, and SOPs. In the role of Document Control Specialist, you will be joining a world-class Engineering team that is delivering innovative solutions to tough problems.
This position is fully onsite and will work from our Riverside office location in Chattanooga, TN. Currently, the working hours for this role are day shift from Monday to Friday. Please note that as our company evolves, working arrangements, locations, and hours may change to meet business needs.
Responsibilities include:
· Manage the full lifecycle of controlled documents, including creation, review, routing, approval, release, distribution, revision, and archival, ensuring compliance with internal procedures and regulatory standards
· Administer the document control system, maintaining version control, metadata accuracy, and secure storage for all controlled project and quality documents
· Coordinate and track document review and approval workflows, proactively following up with stakeholders to maintain project schedules and documentation timelines
· Develop, maintain, and enforce document control processes, templates, numbering conventions, and filing systems to ensure consistency and traceability across all projects
· Support technical teams by editing and formatting documents (e.g., commissioning plans, qualification protocols, validation reports, SOPs) to meet compliance, clarity, and style standards
· Prepare documentation packages for project turnover, audits, and inspections, ensuring records are complete, properly signed, and audit-ready
· Other duties as assigned
You are:
· A detail-oriented professional with a high school diploma, associate degree, or bachelor's degree (preferred) in a technical, administrative, or communications-related field
· Technically skilled with 3+ years of experience managing document control processes in an engineering, pharmaceutical, manufacturing, or regulated environment
· Proficient with electronic document management systems (EDMS) such as SharePoint or similar platforms
· Adept in document lifecycle management, version control, approval workflows, and secure archival practices
· Familiar with Good Documentation Practices (GDP) and regulatory standards (such as ISO-9001) that govern controlled documentation
· Capable of writing, formatting, and editing technical documents in collaboration with subject matter experts to maintain consistency and compliance
· A highly motivated self-starter who takes initiative
· Well organized and invested in the details
· Resourceful when it comes to solving problems
· Willing to work extended hours as needed during commissioning phases
Extra awesome if you also have:
· Certification in document control or records management (e.g., Certified Document Controller, ARMA International certification)
· Skilled in organizing large volumes of technical documentation for project turnover packages and audits
· Experience creating document templates, controlled forms, and guidance documents for project or company-wide use
· Comfortable training team members on document control systems, best practices, and compliance expectations
