Job description

Hill International is seeking a Document Control Specialist in San Antonio, Texas

Document control specialists are responsible for managing company documents, ensuring their accuracy, quality, and integrity. They help companies adhere to record retention policies, safeguard information, and retrieve data effectively. As organizations aim to become more eco-friendly and compliant with new laws and guidelines, the demand for document control specialists is expected to grow.

Qualifications
  • Self-directed, independent, and highly motivated.
  • Ability to work in a fast-paced, deadline-driven environment, maintaining focus and accuracy.
  • Detail-oriented, dependable, and trustworthy with sensitive documents.
  • Capable of prioritizing, managing time, multitasking, and troubleshooting.
  • Strong interpersonal, communication, and customer service skills for interaction with internal and external partners.
  • Proficient in Microsoft Office; experience with document control software, process map software, FTP clients, ISO, SharePoint, and FileNet is preferred. Experience with Auto Desk Construction Cloud (ACC) is a plus.
  • High school diploma is typically sufficient; some employers prefer an associate degree. Willingness to learn is essential. Advanced positions may require a bachelor's degree or extensive experience. Knowledge of industry-specific terminology may be necessary, especially for engineering documents.
  • This is a remote position.

Responsibilities
  • Store, manage, and track documents electronically in a PMIS.
  • Scan, image, organize, and maintain documents, following lifecycle procedures, and archive inactive records per retention schedules.
  • Control document retrieval processes.
  • Process RFIs from employees or clients and maintain tracking logs.
  • Create new templates as RFI procedures evolve.
  • Assist project managers with documents like meeting minutes, drawings, and specifications.
  • Train employees on records management policies and procedures, including retention, retrieval, destruction, and disaster recovery.
  • Support file migrations, audits, and perform administrative tasks as needed.
