Job description

Hill International is seeking a Document Control Specialist in San Antonio, Texas

Document control specialists are responsible for managing company documents, ensuring their accuracy, quality, and integrity. They help companies adhere to record retention policies, safeguard information, and retrieve data efficiently. As organizations become more eco-friendly and compliant with new laws and guidelines, the demand for document control specialists is expected to grow.

Responsibilities include:
  1. Storing, managing, and tracking company documents electronically in a PMIS.
  2. Scanning, imaging, organizing, maintaining documents, and archiving inactive records per retention schedules.
  3. Controlling the retrieval of documents.
  4. Processing Requests for Information (RFIs) from employees or clients and maintaining tracking logs.
  5. Creating new templates as RFI procedures are updated.
  6. Assisting project managers with developing and maintaining documents like meeting minutes, drawings, specifications, and approvals.
  7. Training employees on records management policies and procedures periodically.
  8. Supporting file migrations, audits, and performing administrative tasks as needed.
Qualifications and Skills:
  • Ability to work independently in a fast-paced, deadline-driven environment.
  • Detail-oriented, dependable, and trustworthy with sensitive documents.
  • Strong time management, multitasking, and troubleshooting skills.
  • Excellent interpersonal, communication, and customer service skills.
  • Proficiency in Microsoft Office and experience with document control software (e.g., SharePoint, FileNet, FTP clients, ISO, process map software).
  • Experience with Auto Desk Construction Cloud (ACC) is a plus.
  • High school diploma required; an associate degree is preferred. Bachelor’s degree or extensive experience may be required for advanced roles.
  • Knowledge of industry-specific terminology, especially for engineering documents, is beneficial.
  • This is a remote position.
