Job Overview

The Dispatch Coordinator will manage the daily schedules of Service Technicians and handle incoming service calls. Responsibilities include dispatching technicians, maintaining the customer database, and updating customers and internal teams on service progress, such as lead times and dispatch schedules. Clear and concise communication is essential to deliver top-quality customer service efficiently.

Duties and Responsibilities
  1. Handle the dispatch process from initial service call to completion:
    • Take incoming customer calls and schedule/coordinate all service calls as they are received.
    • Dispatch Service Technicians for each call.
    • Monitor technicians' progress and adjust dispatches as necessary.
    • Respond to messages left overnight.
  2. Document all activity and keep internal teams updated:
    • Create dispatch tickets for all service calls.
    • Debrief Service Technicians after each call.
    • Maintain the dispatch board(s) and schedule.
  3. Forecast workload for 2-3 days ahead.
  4. Maintain 'On-Call' schedules for technicians.
  5. Plan and prioritize preventative maintenance and work orders.
  6. Review work order backlog regularly.
  7. Monitor and maintain the work order network.
  8. Coordinate deliveries and equipment transport to sites or technicians.
  9. Perform other duties as assigned.
Skills, Education, and Competencies
  • Excellent communication skills, both oral and written.
  • Ability to multitask under pressure.
  • Experience managing multiple projects.
  • Strong organizational skills.
  • Knowledge of the service area's geography or map reading skills.
  • Experience with FM Facility Maintenance is preferred.
  • Self-sufficient with minimal supervision.
  • High School Diploma or GED.
  • 3-5 years of dispatch experience.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Team-oriented, honest, growth-minded, and safety-conscious.
Physical Requirements and Working Conditions

Work is performed in a typical office environment. Employees may need to:

  • Sit, stand, walk, hear, see, and talk frequently.
  • Perform close vision tasks due to computer work.
  • Lift light to moderate weights.
  • Visit customer sites or ride along with technicians as needed.
