Description
Position Summary:
UJA’s Real Estate division is comprised of leading professionals in the industry who set the industry standard for philanthropy. The division seeks a proactive, self-motivated, and flexible Development Assistant to provide essential administrative support to the division’s fundraising efforts. The activities of the Real Estate division are fast-paced and high energy; therefore, this role requires a team-player with the ability to multi-task, trouble-shoot, and be a forward-thinker.
Major Responsibilities:
- Provide support for Real Estate team across events, programs, campaign, and donor engagement opportunities, as well as for broader FRD initiatives.
Event Support:
- Organize room reservations, food orders, AV requirements, and event logistics, coordinating with the Events team and other internal/external resources
- Prep for events and committee meetings, including name tags, collateral, and any shipments to outside venues, gifts to hosts, and other tasks as needed
- Provide accurate mailing lists to marketing for invites and eblasts
- Process pledges and payments in a timely manner using internal systems
- Attend events to provide support and assistance for the team
- Prepare accurate attendance lists after the event for database import and fundraiser follow-up
- Assist in the creation of commemorative journals for major honoree events
Administrative:
- Reply to emails and independently respond to situations or inquiries in a timely and professional manner as appropriate whether written or verbal
- Use internal systems to create accurate and useful reports, lists, and charts on a timely basis
- Understand and use fundraising systems, including entering, retrieving, and producing data reports
- Compose correspondence in response to routine inquiries and select appropriate accompanying materials as necessary
- Take meeting notes and share them with necessary staff
- Maintain departmental files on internal servers
- Schedule meetings and maintain calendar using Outlook and internal calendars
- Process expense reports for supervisors
- Process and follow up on print production and supply orders
- Assemble external mailings
- Monitor accurate upkeep of the team’s portfolio of donors
- Provide general support to fundraisers on team
- Perform other work-related duties as assigned
- Attend training on office systems and procedures to stay up to date on those systems and procedures, serving as a resource to the team.
Qualifications and Competencies:
- Proficiency in Microsoft Office Suite preferred, including Office 365, SharePoint, OneDrive, Excel, Outlook, Teams, and Canva
- Experience with CRM or other data management databases preferred
- Detail-oriented, proactive, with strong time management skills
- Possesses the confidence to work independently and the ability to manage and prioritize multiple projects in a fast-paced environment and under tight deadlines
- Excellent organizational skills and an ability to learn and understand systems and procedures
- Excellent interpersonal, written and verbal communication skills
- Maturity and professionalism
- Positive work ethic and ability to work as part of a team.
- Flexibility to work at events and programs when required, some of which are outside of normal business hours.
Salary Information:
The salary for this role is $50,000 annually.
Reporting Information:
This role reports to the Manager, Real Estate Division and is a hybrid position, with a set three days/week (Monday, Tuesday and Thursday) in office.
