Qualifications

Responsibilities

  • Perform all functions for the government customer’s Global Deployment Center (GDC) in support of personnel traveling on government business.
  • Review QA of data in Deployment Module and conduct QA reviews.
  • Manage Deployment Advisor activities and monitor deployment workflow from submission to completion.
  • Serve as the primary deployment resource for TDY and deployment readiness matters.
  • Coordinate pre-TDY briefings and ensure required training is completed.
  • Prepare and disseminate daily deployment reports to senior leaders.
  • Schedule Deployment training and coordinate with service providers.
  • Monitor action progress, generate metrics, and report status to leadership.
  • Disseminate deployment policy and regulatory changes to internal stakeholders.
  • Ensure compliance with DOD Foreign Clearance Guide and IC rules for travel.

Senior Admin Assistant – Contract position – Chantilly, VA, United States (Primary)

Job Description

Perform all functions for the government customer's Global Deployment Center (GDC) in support of personnel (government civilian, military, and contractor) traveling on official government business within the established GDC guidelines and processing timeline. Duties include:

  • Reviewing the quality of data inputted into the Deployment Module and conducting quality assurance (QA) reviews.
  • Engaging with customers to ensure QA reviews are completed according to guidelines, focusing on critical data points to maintain an efficient process.
  • Managing and executing Deployment Advisor activities per the GDC timeline, including assigned activities and monitoring and updating the deployment module workflow requirements from submission to completion.
  • Serving as the customer’s primary resource for all deployment‑related matters for official foreign travel temporary duty (TDY) assignments associated with deployment readiness, including short‑notice travel requests and filling gaps for critical/emergency travel requirements.
  • Conducting pre‑TDY coordination briefings, maintaining file copies of required documentation, and ensuring travelers complete necessary training.
  • Coordinating responses and assessing accuracy before senior management review.
  • Creating and disseminating daily personnel deployment reports to senior leaders, ensuring accurate data is reported based on information contained in the module.
  • Scheduling deployment training, including Deployment Qualification Course (DQC), Weapons, and Commercial Issuance Facility requirements, and ensuring these trainings are coordinated and completed by the service provider.
  • Monitoring progress on actions, generating metrics to demonstrate accountability for meeting deadlines and quality expectations, preparing periodic reports on action status, and keeping leadership aware of late, pending, and new actions.
  • Disseminating deployment policy and legislative changes to appropriate internal parties.
  • Applying the DOD Foreign Clearance Guide and other applicable resources to ensure compliance with the customer, DOD, and Intelligence Community (IC) rules and regulations regarding travel.
  • Drafting, proof‑reading, editing, and providing final review of internal and external correspondence.
  • Reviewing and processing all foreign deployment requests, including monitoring Automated Passport and Country Status (APACS) status, obtaining country and theater approvals, and verifying other country‑specific requirements.
  • Managing records generated during the execution of the directorates’ projects and programs in accordance with federal laws and regulations, as well as the customer’s directives and instructions.
  • Providing support to personnel deployed to global locations by conducting customer engagement, including responding to customer inquiries, covering the GDC hotline, and monitoring email accounts and the SOCOMM database; maintaining accurate records, including file copies of signed Pre‑TDY Instructions, training certificates, and travel orders in the assigned GDC shared folder.
  • Managing and executing the action tracking process, developing standard operating procedures, and serving as facilitator for user requirements.
  • Analyzing and performing actions as assigned by the COTR.
Job Requirements
  • Education & Experience Requirements: Bachelor’s Degree + 5 years of relevant experience, or High School Diploma/GED + 10 years of relevant experience (including 5 years of experience substituted in lieu of a degree).
