Job summary

Quantech Services, Inc. is seeking a Deployment Coordinator (Senior Admin Assistant) in Chantilly, VA to support the Government Global Deployment Center (GDC). You will oversee deployment data, QA processes, and coordination of TDY travel, training, and policy updates.

Qualifications

  • Bachelor's degree with 5+ years relevant experience or HS diploma with 10 years relevant experience (5 years substituted).
  • NRO experience preferred (2+ years).
  • Active TS/SCI clearance with CI polygraph.
  • 100% on-site work in a secure facility.

Responsibilities

  • Support deployment Center (GDC) operations for personnel travel.
  • QA reviews of data input in the Deployment Module.
  • Engage with customers to ensure QA reviews meet guidelines.
  • Manage Deployment Advisor activities and workflow from submission to completion.
  • Be primary customer contact for deployment matters including TDY and travel requests.
  • Coordinate pre-TDY briefings, maintain documentation, ensure training completion.
  • Review responses before senior management review for accuracy.
  • Create and disseminate daily deployment reports to leadership.
  • Schedule and coordinate Deployment Qualification Course and related trainings.
  • Monitor action progress, generate metrics, and report status to leadership.
  • Disseminate deployment policy updates to internal stakeholders.
  • Ensure compliance with DOD Foreign Clearance Guide and IC rules.
  • Draft, proofread, and finalize internal/external correspondence.
  • Process foreign deployment requests including APACS status and theater approvals.
  • Manage records per federal law and customer directives.
  • Provide hotline and email support to deployed personnel and maintain records.

Job Title: Deployment Coordinator (Senior Admin Assistant)

Location: Chantilly, VA US (Primary)

Job Description
  • Perform all functions for the government customer's Global Deployment Center (GDC) in support of personnel traveling on official government business within the established GDC guidelines and processing timeline.
  • Review the quality of data inputted into the Deployment Module and conduct quality assurance (QA) reviews.
  • Engage with customers to ensure QA reviews are completed according to guidelines, focusing on critical data points.
  • Manage and execute Deployment Advisor activities per the GDC timeline, including monitoring and updating the Deployment Module workflow from submission to completion.
  • Act as the customer's primary resource for all deployment‑related matters for official foreign travel temporary duty (TDY) assignments associated with deployment readiness, including short‑notice travel requests and filling gaps for critical/emergency travel requirements.
  • Conduct pre‑TDY coordination briefings, maintain file copies of required documentation, and ensure travelers complete necessary training.
  • Coordinate responses and assess for accuracy prior to senior management review.
  • Create and disseminate daily personnel deployment reports to senior leaders, ensuring accurate data is reported based on information in the module.
  • Schedule deployment training, including Deployment Qualification Course (DQC), Weapons, and Commercial Issuance Facility requirements, and ensure these trainings are coordinated and completed by the service provider.
  • Monitor progress on actions, generate metrics to demonstrate accountability for meeting deadlines and quality expectations, and prepare periodic reports on action status to keep leadership aware of late, pending, and new actions.
  • Disseminate deployment policy and legislative changes to appropriate parties internal to the customer.
  • Apply the DOD Foreign Clearance Guide and other applicable resources to ensure compliance with the customers, DOD, and Intelligence Community rules and regulations regarding travel.
  • Draft, proof‑read, edit, and provide final review of internal and external correspondence.
  • Review and process all foreign deployment requests, including monitoring Automated Passport and Country Status (APACS) status, obtaining country and theater approvals, and verifying other country‑specific requirements.
  • Manage records generated during the execution of the Directorates' projects and programs in accordance with Federal laws and regulations and the customer's Directives and Instructions.
  • Provide support to personnel deployed to global locations by engaging customers, responding to inquiries, covering the GDC hotline, monitoring email accounts and the SOCOMM database, and maintaining accurate records in the assigned shared folder.
  • Manage the action tracking process, develop standard operating procedures, and serve as facilitator for user requirements.
  • Analyze and perform actions as assigned by the COTR.
Job Requirements
  • Education & Experience: Bachelor’s Degree + 5 years of relevant experience, or High School Diploma/GED + 10 years of relevant experience (including 5 years substituted for a degree).
  • Preferred Qualification: At least 2 years of experience at the NRO.
  • Clearance: Active TS/SCI clearance and a CI polygraph.
  • Work Setting: 100% on‑site in a secure facility.
  • Travel: 0 – 10%
Soft Skills
  • Demonstrated experience in federal acquisitions, Department of Defense (DOD), or the Intelligence Community, and national security policy.
  • Proficiency with Microsoft Office and standard computer applications.
