Job summary

Health & Wellness Partners, LLC is seeking a Data Control Coordinator within the Business Compliance – Post Meeting / Closeout team to ensure timely, accurate closeouts of speaker bureau programs per client requirements.

You will collect documentation, input program and attendee data with precision, follow up on missing materials, and maintain organized records to meet deadlines and support a compliant closeout process. Strong attention to detail and clear communication are essential.

Qualifications

• High level computer skills, including proficiency in Microsoft Office suite.
• Strong numerical aptitude.
• Ability to multi-task and manage priorities.
• Exceptional organizational skills with the ability to track and follow up for information.

Responsibilities

• Collect, review, and reconcile meeting closeout documentation from client field representatives, ensuring all required materials are complete, accurate, and submitted on time.
• Enter program and attendee information into applicable databases with a high level of accuracy, following HWP and client-specific requirements.
• Proactively follow up with field representatives to resolve missing documentation, data discrepancies, and other closeout issues; escalate where needed.
• Conduct quality-control reviews of scanned and saved program files to confirm documents are complete, clearly labeled, and stored in accordance with company standard.
• Partner closely with the meeting planning team to investigate and resolve discrepancies between meal counts and attendee records.
• Support an efficient, compliant closeout process by maintaining organized records, meeting established deadlines, and communicating status updates clearly.
