Simpson Thacker & Bartlett LLP in New York seeks an Occupancy Specialist to support workforce planning, occupancy management, and real estate operations. You will maintain data, coordinate space changes, and prepare reports to inform leadership decisions.

The role partners with IT, building management, and external vendors to uphold workplace standards, manage moves, and contribute to a data-driven planning function. A strong admin background and proficiency with Microsoft Office are required.

Qualifications

• Required High School diploma or GED; minimum 4+ years of administrative, facilities, workplace, project coordination, or related operational experience.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
• Strong organizational and time-management skills; ability to manage multiple priorities with attention to detail.
• Strong written, verbal, and interpersonal communication skills.
• Preferred Associate or Bachelor’s degree.
• Experience with CAFM/IWMS, CAD, or occupancy management systems.

Responsabilités

• Coordinate workplace planning and occupancy activities according to firm policies and planning protocols.
• Maintain occupancy plans, floor plans, seating charts, and workplace databases to support space planning and decision-making.
• Prepare reports, dashboards, analyses, and summaries for leadership visibility on space requirements and utilization trends.
• Serve as a coordination point for requests, gather requirements, and communicate status and next steps to stakeholders.
• Coordinate logistics for moves, relocations, and reconfiguration initiatives and track project milestones.
• Provide administrative support for GREWS operations and maintain organized records.
