Job summary

SpaceXAI seeks a Documentation Control Specialist to manage and maintain the integrity of technical documents across data center construction, engineering and operations projects. You will implement document control processes, ensure version control, traceability, and regulatory compliance.

Collaborate with engineering, construction, project management and quality teams to enable fast, organized, and error‑free execution.

Qualifications

• 3+ years of experience in Document Control, preferably in construction, data centers, manufacturing, or engineering environments.
• Strong knowledge of document management systems and best practices
• Excellent organizational skills with high attention to detail
• Proficiency with Microsoft Office, SharePoint, and common document control platforms

Responsibilities

• Manage the full lifecycle of project documents including engineering drawings, specifications, submittals, RFIs, change orders, test reports, quality records, permits, as‑built drawings, and O&M manuals.
• Implement and maintain document control processes using EDMS platforms such as Aconex, Procore, Bluebeam, SharePoint.
• Perform advanced document markup, review, and collaboration while enforcing version control, numbering, and revision tracking.
• Process incoming and outgoing documents: review for completeness, register, distribute via transmittals, and track approvals.
• Support regulatory compliance by organizing and maintaining permits, environmental assessments, safety documentation, and records for power plant and datacenter operations.
• Generate status reports, dashboards, and metrics in Procore and Aconex for project leadership.
• Facilitate audits by providing quick and accurate access to controlled documents and records.
• Continuously improve document control workflows and train team members on best practices.
