Job summary

Digging & Rigging Inc. in Frederick, MD is seeking a customer service-focused coordinator to support project estimators, dispatchers, and regulatory agencies.

Description

Under direction, responsible for delivering exceptional customer service to both external and internal stakeholders. Collaborates closely with customers, D&R project estimators, dispatchers, and regulatory agencies to collect all necessary information required to prepare accurate and professional project estimates. Coordinates with customers and D&R credit/subcontract departments to process payment information, and works with the D&R dispatch team to schedule upcoming projects and obtain necessary DOT permits.

Knowledge, Skills, and Abilities

Must possess expert communication and listening skills and be able to communicate in a clear and friendly manner. Must have strong computer skills: Microsoft Office and Adobe Acrobat with a working knowledge of Customer Resource Management (CRM) databases preferred. Must be highly motivated and able to prioritize and complete multiple tasks within established deadlines. Must demonstrate strong focus skills, effective documentation, and teamwork. Excellent oral and written communications and human relations skills required.

Education, Training, and Experience

High School diploma or equivalent, with at least two years customer service experience. Must be able to communicate effectively orally and in writing with customers and vendors. Experience in the equipment industry preferred. Other combinations of applicable education, training, and experience, which provide the knowledge, abilities, and skills necessary to perform in the position may be considered.

Examples of Duties and Responsibilities
  • Conduct all business in a professional, respectful manner and in accordance with Digging & Rigging Inc.’s policies and procedures as outlined in the Compact of Respect.
  • Takes incoming calls from project estimators and/or customers to gather all the information needed to prepare a quote and complete the project.
  • Assists customers in person, over the phone, and on the computer with processing estimates and orders.
  • Assists with internal sales on select projects by gathering project details and creating quotations.
  • Creates and updates new leads and opportunities within the established database.
  • Assists the estimating team with the preparation of customer quotations.
  • Proofreads and edits estimates prior to sending them to customers.
  • Communicates with project estimators, credit/subcontracts, and dispatch throughout the day to prioritize projects and relay information.
  • Coordinates with credit to ensure all payment information has been gathered and processed prior to releasing equipment for scheduled work.
  • Consults with lift planners to verify project requirements.
  • Communicates accurate project information to the dispatchers, operators, and customers as needed.
  • Prepares and submits accurate permit applications, ensuring compliance with regulations.
  • Maintains detailed records of permit activity.
  • Compiles data and paperwork to process permit applications for oversized and overweight vehicles.
  • Coordinates with customers to confirm equipment and labor requirements prior to adding jobs to the schedule.
  • Confirms equipment requirements and availability with estimators and dispatch prior to committing to requested project schedules.
  • Performs related assignments as required.
