Ultimate Staffing is seeking a Customer Service/Dispatcher to join a client in Marysville WA. Hours are Monday - Friday 7.30AM to 5pm
Key Responsibilities
- Dispatch and coordinate field technicians by assigning service calls, balancing technician availability, location, skills, and workload to support efficient field operations.
- Schedule and maintain technician resources in the company’s ERP/service management system, including appointments, assignments, estimated completion times, and schedule changes.
- Manage the service job board and calendars, monitoring open, scheduled, in-progress, and completed work and making updates as priorities or field conditions change.
- Enter and maintain customer service requests and work orders, ensuring ticket information, site details, equipment information, customer contacts, and service requirements are accurate and complete.
- Provide customer service and communication by responding to service inquiries, providing status updates, communicating scheduling information, and serving as a point of contact throughout the service process.
- Monitor delayed or at-risk service work and coordinate with Service Managers and technicians regarding scheduling issues, delays, parts availability, site access, or other obstacles that may prevent work from being completed as expected.
- Maintain accurate customer and account information within the ERP and related systems, including customer profiles, contacts, service locations, billing information, and other account details.
- Coordinate communication between customers, technicians, and service management, helping ensure changes to scope, scheduling, priorities, and customer expectations are clearly communicated and documented.
- Assist with customer contract administration, including setting up new contracts in company systems, entering contract terms, pricing, payment requirements, service details, effective dates, and other applicable information.
- Support overall service administration and data accuracy by maintaining organized records, reviewing open work for completeness, assisting with invoicing or contract-related questions, and performing other administrative duties supporting field service operations.
Qualifications
- 1+ year of experience in customer service, dispatching, scheduling, administrative support, or a similar role preferred; trade or field-service experience is a plus but not required.
- Strong organizational skills with the ability to manage multiple service requests, schedules, and priorities at the same time.
- Comfortable working with computers and learning ERP, CRM, scheduling, dispatch, and other business software systems.
- Ability to accurately enter, update, and maintain customer, job, scheduling, and contract information.
- Strong communication skills, both written and verbal, with a professional and customer-focused approach.
- Ability to communicate effectively with customers, technicians, service managers, and other internal teams.
- Able to monitor open jobs and follow up when work is delayed, rescheduled, or requires additional coordination.
- Strong attention to detail, particularly when entering service information, customer details, contract terms, and payment information.
- Ability to work in a fast-paced service environment, adjust to changing priorities, and remain organized when handling multiple calls, requests, and schedule changes.
