Villa provides end-to-end services for customers, including feasibility, design, permitting, and construction of high-quality homes built using modern offsite construction. Currently, Villa is the largest ADU builder in California and is expanding into other housing products and regions.

Role Overview
We are seeking a Customer Relations (Service) Coordinator to join our team. This full-time, remote position reports to the Service Manager and is open to candidates in Colorado, Texas, and California. The role involves supporting service and warranty needs in a fast-paced environment.

Responsibilities:

  • Submit homeowner cards to the Factories within 30 days of project completion.
  • Maintain and ensure accuracy of service items within Procore.
  • Create and submit factory work orders.
  • Communicate with factory partners and subcontractors regarding warranty claims.
  • Monitor open service items and request updates.
  • Coordinate with Construction and Project Management teams to clarify service and warranty needs.
  • Engage with clients to confirm service needs and gather warranty claim information.
  • Assist with scheduling Contractors, Field Crew, and Factory Technicians for service and maintain scheduling calendars.
  • Follow up with clients via email to confirm satisfaction after service.
  • Review new service items in the tracking system and request additional documentation if needed.
  • Generate reports on service data as required.

Qualifications:
  • Equivalent to 5 years of office administrative experience supporting management, client communication, and scheduling.
  • Proficiency with office systems such as spreadsheets, word processors, and databases.
  • Experience communicating with clients via email, phone, and virtual meetings.
  • Professionalism and a sense of urgency.
  • Strong inter-departmental communication skills.
  • Detail-oriented and self-motivated.
  • Ability to work independently with minimal supervision.
  • Knowledge of warranty contracts and processes.
  • Familiarity with home construction and manufactured housing is a plus.
  • Experience with DocuSign, Google Suite, and Procore is advantageous.
