Who We Are

Villa is building America’s leading next-generation homebuilding platform. With a mission to be the easiest, fastest, and most cost-efficient way to build homes, Villa offers a highly scalable approach to offsite homebuilding, addressing many challenges in the U.S. housing market. We provide end-to-end services for customers, including feasibility, design, permitting, and construction of high-quality homes built using modern offsite methods. Currently, Villa is the largest ADU builder in California and is expanding into other housing products and markets.

Role Intro and Overview

We’re seeking a Customer Relations (Service) Coordinator to join our team in a fast-paced environment, supporting the service and warranty needs of our customers. This is a full-time, remote position reporting to the Service Manager. Candidates based in Colorado, Texas, and California are encouraged to apply.

What You'll Do:

  1. Submit homeowner cards to the Factories within 30 days of project completion.
  2. Maintain and ensure the accuracy of service items within Procore.
  3. Create and submit factory work orders.
  4. Communicate with factory partners and subcontractors regarding warranty claims.
  5. Monitor open service items and request updates.
  6. Coordinate with Construction and Project Management teams to clarify service and warranty needs.
  7. Engage with clients to confirm service needs and gather warranty claim information.
  8. Assist with scheduling Contractors, Field Crew, and Factory Technicians for service, maintaining scheduling calendars.
  9. Email clients to confirm satisfaction after service.
  10. Review new service items entered into the tracking system and request additional documentation if needed.
  11. Create reports to display service data.

What We're Looking For:

  1. Approximately 5 years of office administrative experience supporting management, client communication, and office coordination.
  2. Proficiency with office systems such as spreadsheets, word processing, and databases.
  3. Experience interacting with clients via email, phone, and virtual meetings.
  4. Professional demeanor at all times.
  5. Sense of urgency with a customer-focused approach.
  6. Strong inter-departmental communication skills.
  7. Detail-oriented, self-motivated, and able to work independently.
  8. Knowledge of warranty contracts and processes.
  9. Familiarity with home construction and manufactured housing is a plus.
  10. Experience with DocuSign, Google Suite, and Procore is a plus.
