Job summary

Jobtailor is seeking a detail-oriented customer service driven professional to join our healthcare support team in Richmond, VA. You will manage and follow up on new patient orders, verify insurance, gather documentation, and coordinate initial medical-supply shipments while ensuring compliance and confidentiality.

The ideal candidate has a high school diploma or GED, call center and MS Office experience, and strong communication skills.

Qualifications

  • High School Diploma or GED
  • Call Center experience is required, preferably in a customer service role
  • Medical experience is helpful, including medical office or CNA experience
  • MS Office knowledge
  • Preference given to bilingual candidates
  • Ability to sit for extended periods, typically 6–8 hours a day, while working at a computer station
  • Proficiency using a keyboard, mouse, and other computer peripherals for data entry and communication
  • Ability to view a computer screen for prolonged periods and read small print accurately
  • Adequate hearing ability, with or without correction, to understand and respond to customer inquiries via telephone or other audio equipment
  • Regular use of hands, wrists, and fingers for repetitive tasks such as typing and using a mouse

Responsibilities

  • Manage and follow up on all new customer orders
  • Create, fax, mail, and track required medical and insurance documentation from physicians' offices, insurance companies, and patients
  • Coordinate every detail of initial medical-supply shipments to new customers
  • Accurately complete the process from order to ship, including customer intake, data entry, insurance verification, prior authorization, documentation gathering and verification, and shipping
  • Ensure compliance with regulatory requirements and department and company standards
  • Communicate with healthcare professionals and customers regarding patient order status
  • Build professional relationships with key decision-makers to generate regular patient referrals
  • Thoroughly document patient accounts after required or completed/attempted contacts
  • Expedite urgent service situations as directed by management
  • Explain required documents and completion procedures to patients
  • Identify workflow improvements and contribute to solutions that enhance efficiency and customer experience
  • Maintain appropriate communication and confidentiality
  • Perform other duties as assigned
