Job summary

Builders FirstSource, America’s largest supplier of building materials, is seeking a detail-oriented Service & Warranty Coordinator to manage service requests, warranty claims, and customer support for windows, doors, cabinets, and related products.

You will coordinate with homeowners, builders, technicians, and vendors, maintain CRM records, and assist with invoicing and reporting while ensuring timely resolutions and outstanding customer experience.

Qualifications

• 2+ years of experience in customer service, warranty administration, service coordination, dispatching, or construction-related operations.
• Strong organizational and multitasking abilities.
• Excellent communication and problem-solving skills.
• Ability to manage multiple service requests and priorities simultaneously.
• Proficiency with Microsoft Office and business software systems.
• Strong attention to detail and commitment to customer satisfaction.

Responsibilities

• Receive, document, and manage incoming service and warranty requests from homeowners, builders, contractors, and project managers.
• Coordinate service appointments with field technicians, installers, and subcontractors.
• Review warranty claims and determine eligibility based on manufacturer and company warranty guidelines.
• Communicate with customers regarding claim status, scheduling, and resolution timelines.
• Order replacement parts and coordinate material shipments with manufacturers and suppliers.
• Create and manage service work orders from initiation through completion.
• Track open service tickets and ensure timely follow-up and resolution.
• Process warranty documentation, photographs, inspection reports, and manufacturer submissions.
• Collaborate with sales, operations, project management, and installation teams to resolve customer concerns.
• Maintain accurate records in CRM, ERP, and service management systems.
• Assist with service invoicing, customer documentation, and reporting as needed.
