Job summary

Builders FirstSource is seeking a Service & Warranty Coordinator to manage warranty claims, service requests, and customer support for windows, doors, cabinets, and other materials. You will be the main liaison among customers, manufacturers, vendors, technicians, and internal teams to ensure timely issue resolution.

The role requires strong organizational skills, multitasking, and experience in warranty processes and service dispatch.

Qualifications

• 2+ years of experience in customer service, warranty administration, service coordination, dispatching, or construction-related operations.

Responsibilities

• Receive, document, and manage incoming service and warranty requests from homeowners, builders, contractors, and project managers.
• Coordinate service appointments with field technicians, installers, and subcontractors.
• Review warranty claims and determine eligibility based on manufacturer and company warranty guidelines.
• Communicate with customers regarding claim status, scheduling, and resolution timelines.
• Order replacement parts and coordinate material shipments with manufacturers and suppliers.
• Create and manage service work orders from initiation through completion.
• Track open service tickets and ensure timely follow-up and resolution.
• Process warranty documentation, photographs, inspection reports, and manufacturer submissions.
• Collaborate with sales, operations, project management, and installation teams to resolve customer concerns.
• Maintain accurate records in CRM, ERP, and service management systems.
• Assist with service invoicing, customer documentation, and reporting as needed.

Preferred Qualifications

• Experience in the building materials industry, including windows, doors, cabinets, millwork, or related products.
• Familiarity with residential or commercial construction processes.
• Experience coordinating field service technicians or installation crews.
• Knowledge of warranty administration and manufacturer claim processes.
