Job summary

Kelly is seeking a Corporate Events Coordinator to work at a leading oil and gas company in Spring, TX, onsite five days a week. The role focuses on end-to-end planning of corporate meetings, leadership events, conferences, and special programs.

You will serve as the main point of contact for business stakeholders and sponsors, design innovative meeting experiences, manage budgets, venues, registrations, travel, AV, catering, and onsite execution.

Qualifications

  • Bachelor’s degree; CMP designation preferred.
  • Have at least 10 years of corporate meeting and event management experience.
  • Proficient with Microsoft Office Suite and Cvent, including event build, registration management, budgeting, reporting, and onsite event operations.

Responsibilities

  • Lead end-to-end planning and execution of corporate meetings, leadership events, conferences, and special programs.
  • Serve as the primary point of contact and strategic advisor for business stakeholders and meeting sponsors.
  • Design innovative meeting experiences and provide consultative guidance on logistics and attendee engagement.
  • Manage all facets of event logistics from venue sourcing to registration, transportation, accommodations, audiovisual production, catering, and onsite execution.
  • Developing project timelines and communications, leading planning meetings, stakeholder reviews, and vendor coordination.
  • Managing event budgets, forecasting, reconciliation, and negotiating contracts to ensure financial compliance and cost savings.
  • Utilizing Cvent and other technologies to oversee attendee management, event websites, registration, communications, reporting, and onsite solutions.
  • Supporting onsite Meetings & Events resources and ensuring continuous improvement in quality and service delivery.
  • Ensuring compliance with client policies, audit standards, and reporting requirements.
  • Identifying innovative solutions for process improvements and enhanced stakeholder satisfaction.

Pay Rate: Up to $65 per hour
Location: 5 days per week onsite in Spring, TX (must be within 30 min commute)
1 year contract (w/possible extension)

What’s a typical day as Corporate Events Coordinator?

This job might be an outstanding fit if you:
  • Hold a Bachelor’s degree; CMP designation is preferred.
  • Have at least 10 years of corporate meeting and event management experience, including vendor sourcing, contract negotiation, and production & supplier management.
  • Demonstrate expert proficiency with Microsoft Office Suite and Cvent, including event build, registration management, budgeting, reporting, and onsite event operations.
  • Offer strong experience supporting executive stakeholders and managing complex, high-visibility meetings.
  • Possess excellent verbal and written communication skills, along with outstanding organizational, project management, and problem-solving abilities.
  • Can manage multiple priorities with exceptional attention to detail.
  • Are proficient with Microsoft Teams, Webex, Zoom, and related event technologies.
  • Have international events experience (highly desirable) and are willing to travel up to 30% domestically and internationally.
  • Meet physical and mental requirements including the ability to lift up to 50 lbs and work extended hours as needed.
