UTA seeks a Workplace Services Coordinator to support daily facility operations and create a safe, efficient, and welcoming workplace experience. This customer-facing role supports workplace operations through vendor coordination, office moves, event support, and facility-related projects. The ideal candidate is service-oriented, proactive, and thrives in a fast‑paced environment. This position is based in Beverly Hills, California.
The salary range for this role is $28-$30/hr, commensurate with experience and skills.
What You Will Do
- Conduct daily building inspections to ensure the facility is clean, safe, organized, and operating efficiently.
- Maintain compliance with OSHA and fire safety standards by ensuring workspaces remain hazard‑free and well‑maintained.
- Coordinate and track facility work orders from initiation through completion, researching, resolving, and escalating issues as needed.
- Coordinate with vendors and contractors supporting workplace operations and facility projects.
- Maintain vendor records, service contracts, and project documentation.
- Process invoices accurately, route them for approval, and maintain financial records.
- Set up and break down meetings, company events, and special functions, including arranging tables, chairs, heat lamps, and other equipment.
- Respond promptly to employee requests, questions, and workplace concerns.
- Support office relocations, departmental moves, renovations, and workplace reconfigurations.
- Prepare workstations for new hires by coordinating furniture, equipment, and office supplies.
- Perform light maintenance and general handyman tasks, including furniture assembly, hanging artwork, moving office furniture, repairing desks and chairs, and lifting or unloading supplies.
- Identify opportunities for process improvements and proactively report facility deficiencies.
What You Will Need
- 2+ years of experience in facilities, workplace services, office management, project coordination, or a related role.
- Experience supporting facility operations, vendor management, workplace services, and administrative processes.
- Strong customer service, communication, and interpersonal skills.
- Strong organizational and problem‑solving skills with the ability to manage multiple responsibilities and follow through on solutions.
- Familiarity with workplace safety standards and CMMS/work order systems.
- Self‑starter who learns quickly, exercises sound judgment, and remains calm under pressure.
- Ability to handle sensitive and confidential information with discretion.
- Proficiency in Microsoft Office (Outlook, Excel, Word).
- Ability to perform physical tasks, including moving furniture, assembling office equipment, and lifting up to 50 pounds.
- Flexibility to work overtime and weekends as business needs require.
