Responsibilities

  • Serve as the primary point of contact for day-to-day facility upkeep and service requests with ownership of resolution.
  • Conduct regular floor walks and ensure office spaces are functional, safe, and well‑stocked.
  • Provide polished, high‑touch support for onboarding and workplace tours.
  • Source, schedule, and supervise vendors and contractors for maintenance, repairs, and reconfigurations.
  • Manage janitorial, horticulture, and maintenance vendors to meet SLAs.
  • Support office moves, space planning, and small renovations.
  • Assist in in‑office events with AV setup, catering, and signage.

Role Summary

The Workplace Coordinator plays a critical role in maintaining a polished, high-functioning, and welcoming workplace environment. This role supports daily operations, events, vendor management, space planning, employee experience, and compliance across the local studio and may also provide remote support to regional sites. The coordinator will act with autonomy within established frameworks, solve a wide range of operational problems, and partner with internal and external stakeholders to ensure a best-in-class experience for employees and guests.

Operational Excellence & Customer Experience
  • Serve as the primary point of contact for day-to-day facility upkeep, maintenance, and service requests; own resolution and follow-up to ensure satisfaction.
  • Conduct regular floor walks and ensure all office and meeting spaces are functional, well-stocked, and meet safety and aesthetic standards.
  • Provide polished, high-touch support for employee onboarding and workplace tours.
Facilities & Vendor Coordination
  • Source, schedule, and supervise vendors and contractors for maintenance, repairs, and office reconfigurations.
  • Manage janitorial, horticulture, and maintenance vendors to ensure delivery against SLAs.
  • Assist in project coordination for office moves, space planning, and small-scale renovations.
  • Submit and track helpdesk tickets and oversee contractor work, ensuring minimal disruption to business activities.
Events & Engagement
  • In partnership with Culinary, AV, and IT teams, provide support for in-office events; support AV setup, catering, room layouts, event signage/communications, etc.
  • Contribute to wellness, DE&I, and sustainability initiatives through thoughtful workspace activations and programming.
Administration & Compliance
  • Maintain accurate signage, administrative documentation, compliance logs, and space plans.
  • Track facilities budgets and assist in invoice processing and reporting.
  • Support audits, health & safety programs, and food hygiene compliance.
  • Respond to building emergencies and be available for off‑hours support as needed.
Skills & Qualifications
  • 2–4 years’ experience in a facilities, workplace operations, or hospitality‑related role.
  • Strong multitasking, time management, and problem‑solving skills.
  • Proven experience managing vendors, budgets, and workplace events.
  • Proficient with Google Workspace and Microsoft Office; familiar with helpdesk systems and tools like Service Now, Slack, Office Space, etc.
  • Calm under pressure, adaptable, highly service‑oriented, and detail‑focused.

Work Style
  • Fully onsite (Monday to Friday), with a hands‑on presence required to support the physical studio.
  • Occasional off‑hours availability for building emergencies or event support.

Pay Range

The pay range for this position in California at the start of employment is expected to be between $60,000 and $88,800 per Year. However, base pay offered is based on market location, and may vary further depending on individualized factors for job candidates, such as job‑related knowledge, skills, experience, and other objective business considerations. Subject to those same considerations, the total compensation package for employees in regular roles may also include other elements, including a bonus and/or equity awards, in addition to a full range of medical, financial, and/or other benefits, provided that temporary or intern roles will not be eligible for many of these payments or benefits. Details of participation in compensation and benefit plans (if applicable) will be provided if an employee receives an offer of employment. If hired, employee will be in an at‑will position and the company reserves the right to modify base salary (as well as any other discretionary payment or compensation or benefit program) at any time, including for reasons related to individual performance, company or individual department/team performance, and market factors.
