Responsibilities

  • Coordinate computerized and virtual tests for regular placement, ESL placement, and program entrances.
  • Ensure evening and weekend tests are staffed with trained proctors.
  • Review placement test results and student records in Banner; place holds as needed.
  • Communicate revisions on placement materials to stakeholders and students.
  • Provide customer service, greet visitors, answer questions, and dispense information.
  • Maintain testing materials securely and ensure proper access control.
  • Administer outside tests including CLEP and Credit by Exam.
  • Utilize Banner, Argos, Starfish, Canvas, FAMIS, and Kronos to support students and staff.
  • Arrange seating and prep test materials for each session; ensure adequate staffing.
  • Deliver clear presentations to examinees and maintain accurate testing environment.

Position Summary

The Coordinator assists in the day-to-day operation of Testing Services to include the administration of both virtual and computerized tests as well as special testing programs, including the CLEP, the Allied Health test, accelerated Nursing test, Credit by Exam, Academic Makeup exams, and other duties as may be required. The Coordinator works with the college's administration, faculty, and staff to generate effective responses to the college/students’ needs. Essential components to the position are the possession of substantive organizational skills and the ability to oversee/supervise the effective implementation of required state and county and district assessments. This individual must be able to provide training to classified staff and work study students. Additionally, the Testing Coordinator will certify ethical testing practices within the college and its School District of Philadelphia and community partners. The Coordinator assumes supervisory responsibilities for staff in the Director’s absence.

Essential Responsibilities
  • Coordinates computerized and virtual tests for regular placement, ESL placement, and entrance into the College’s Allied Health programs.
  • Ensure that evening and weekend tests are appropriately staffed with trained proctors.
  • Review placement test results and student records in Banner, ensure accuracy of Math and English placements; place a departmental hold on the records of students who place into Developmental math and English courses and maintain files.
  • Communicate any revisions on the Placement website, guides, forms, and to college stakeholders who support students in the placement process.
  • Provide customer service to all, greet visitors and callers, answer questions, and dispense information about placement and all testing services offered.
  • Routinely review Testing Services Inventory and specialized testing materials to ensure content is up to date and in accordance with IT and Faculty guidance and information.
  • Maintain test security by keeping all testing materials in a locked room; ensure security by limiting access to testing materials by authorized Testing Services staff only.
  • Administer outside tests including the CLEP and Credit by Exam.
  • Utilize Banner, Argos, Starfish, Canvas, FAMIS, and Kronos to better support students and staff.
  • Arrange seating chart and prepare test materials for each candidate scheduled for each test session; ensure that each test session is staffed with the appropriate number of trained proctors.
  • Articulate accurate presentations to examinees.
  • Develop and maintain campus schedule for Accuplacer tests.
  • Maintain appropriate testing environment and security in Testing Services.
  • Coordinating testing arrangements and specialized environments for students with disabilities.
  • Review records of test results.
  • Interpreting test results and generating reports to assist college admin, faculty, staff and Philadelphia School District partners.
  • Support students at testing by explaining the format of Accuplacer, rules for taking the test, test set-up and administration, and the interpretation of results, as needed
  • Diagnose and troubleshoot exam and computer issues daily.
  • Maintain current knowledge of Dual Enrollment Multiple Measures for English and Math placement and process these documents in Banner.
  • Participate in Admissions, Counseling, and Academic Advising, and Dual Enrollment meetings.
  • Participate in Fall and Spring Open Houses if available.
  • Participate in the training and professional development of Testing Services staff.
  • Maintain Accuplacer and CLEP certifications.
  • Supervise staff in Testing Services in the Director’s absence.
  • Deliver quality customer services to both internal and external constituents in a professional helpful and courteous manner
  • Perform other duties as assigned.
Required Qualifications
  • Bachelor’s degree required. Any and all degree(s) must be from a regionally accredited institution of higher learning.
  • Two (2) years experience administering Academic Testing required;
  • Strong computer skills required; experience utilizing an enterprise-wide information and reporting system required; Banner and Argos reporting experience preferred.
  • Detail-oriented with excellent communications skills, both verbal and written, to effectively interact with people of diverse backgrounds required.
  • Ability to problem-solve and troubleshoot issues to a satisfactory outcome required.
  • Ability to work flexible hours required.Ability to maintain sensitivity, understanding and respect for a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological, and ethnic backgrounds required.
Preferred Qualifications
  • Experience in higher education preferred.
  • CLEP Certification
