Job summary

The Human Rights Campaign seeks a Membership Coordinator/Manager to support day-to-day operations of the membership team, coordinating financial, administrative, vendor, reporting, and premium fulfillment processes that drive member acquisition, retention and engagement. This hybrid role partners with Finance, Consumer Marketing and external vendors to ensure campaigns run efficiently.

Qualifications

  • High school degree (or equivalent) and a minimum of 2 years in a relevant position.
  • Those with a bachelor’s degree (or equivalent) and at least 2 years' experience will be considered for hiring at the Manager level.
  • One to three years of relevant work experience required; experience in member relations and/or customer service is a plus.
  • Background in financial accountability and vendor relationships preferred.
  • Excellent communication skills, editing ability, and being a self-starter are essential to this position.
  • Proficient with MS Word and Excel; PowerPoint and Google Apps experience preferred.
  • Experience with membership database programs (ROI Solutions’ Revolution Online or similar platform) a plus.
  • Demonstrated ability to work well under pressure, manage multiple projects, and meet tight deadlines.
  • Willingness to travel up to 3 trips per year.

Responsibilities

  • Support the Associate Director in administration and tracking of operational and financial activities related to the membership program, including budget tracking and revenue reporting.
  • Coordinate invoice submission and reconciliation, process vendor invoices for Membership, and ensure on-time payments with Finance.
  • Maintain contract records and support vendor payment tracking for timely processing and compliance.
  • Coordinate membership premium campaigns, inventory tracking, purchasing support, fulfillment monitoring, and reporting.
  • Track campaign status and provide weekly status reports and reporting measures.
  • Ensure data integrity of campaigns loaded in CRM for revenue tracking.
  • Facilitate print components of direct mail campaigns and assist with copy editing as needed.
  • Create fundraising campaign financial source codes for tracking.
  • Assist Sr. Director and Finance for fiscal year close out for audit compliance.
  • Maintain knowledge of data processes related to Membership campaigns.
  • Manage team calendar invites and shared travel calendar; handle special projects as assigned.

Position Summary

Membership is the heartbeat of the Human Rights Campaign – quite simply members are the reason why, and the reason how, we do our life-changing work. The Membership Coordinator/Manager supports the day-to-day operations of HRC's membership team and program. This role is responsible for coordinating financial, administrative, vendor, reporting, and premium fulfillment processes that support member acquisition, retention, and engagement efforts. The Coordinator/Manager works closely with Membership, Finance, Consumer Marketing, and external vendors to ensure efficient execution of campaigns and operational activities.

This is a hybrid position reporting in-person 2 days per week to HRC headquarters located in Washington, DC

Position Responsibilities
  • Support the Associate Director in the administration and tracking of operational and financial activities related to HRC's membership program; including but not limited to ongoing budget tracking, weekly revenue reporting by campaign, liaising with finance regarding monthly cost center reconciliation, and expense tracking.
  • Manage invoice submission and reconciliation, and process, route, and submit vendor invoices for Membership, including direct response, online strategy, retail operations, contractual vendor-partner, and consultant relationships; ensure on-time payments in collaboration with Finance in NAV and conduct regular audits to support successful financial reporting.
  • Maintain contract records and support vendor payment tracking to ensure timely processing and compliance.
  • Coordinate membership premium campaigns, including premium sourcing, inventory tracking, purchasing support, fulfillment monitoring, and reporting. Partner with Consumer Marketing, vendors, and internal stakeholders to ensure timely delivery and accurate campaign performance tracking.
  • Track campaign status and provide the department with weekly status reports. In addition, provide weekly status and reporting measures.
  • Ensure data integrity of campaigns loaded in CRM for revenue tracking.
  • Facilitate and traffic print components of all direct mail campaigns, including art, proof, and set-up approvals, and maintaining a sample library. Assist with copy editing as needed.
  • Create fundraising campaign financial source codes for tracking.
  • Provide support to Sr. Director and Finance for fiscal year close out for audit compliance. Including but not limited to cost close out, compiling creative packages, gathering all scripts for telemarketing that impact our fundraising status under joint cost allocation.
  • Maintain a robust knowledge of the data processes related to Membership campaigns.
  • Manage team calendar invites for Membership team meetings and maintain the Membership team’s shared travel calendar as needed.
  • Special projects as assigned.

  • Able to exercise good judgment; discretion is a must.
  • Strong willingness to be a team player – to roll up your sleeves and get the job done.
  • Strong interest and knowledge in the rapidly changing LGBTQ equality movement.
  • Some travel (up to 3 trips per year) may be required.
