Job description

A very successful Manhattan-based development firm is seeking a detail-oriented Construction Project Coordinator to join their team. This role is central to the project success, focusing heavily on document control, contract administration, and seamless communication between project managers, superintendents, and upper management.

The ideal candidate will maintain a meticulous "living record" of the projects to ensure quality assurance and mitigate risks from kickoff through closeout.

Core Responsibilities
Document Control & Software Management
  • Procore Power User: Utilize Procore to manage high volumes of project documentation.
  • Drawing & Specification Logs: Maintain and update logs to ensure the most current versions of plans are accessible to all stakeholders and distributed to subcontractors.
  • Record Keeping: Ensure all project documentation is accurate, up-to-date, and organized to prevent delays or costly errors.
Contract Administration
  • Drafting & Execution: Assist in drafting contracts, ensuring all necessary exhibits are included and documents are fully executed prior to construction.
  • Compliance: Monitor contract compliance throughout the project lifecycle to protect company interests.
  • Package Organization: Prepare and organize comprehensive submittal packages for review.
  • Tracking: Maintain detailed logs to track the status of submittals (submitted, approved, rejected) and change orders.
  • Coordination: Act as the primary information hub between contractors, architects, and engineers to facilitate the review process.
  • Expediting: Proactively manage timelines to ensure materials and methods align with contract specifications and project schedules.
Key Requirements
  • 1-2 years of experience in construction project coordination and document management.
  • Ability to communicate effectively with diverse teams, including field superintendents and executive leadership.
  • A high level of attention to detail to manage risk and provide invaluable references for future project closeouts.
  • Experience with construction management software, specifically Procore, is highly preferred.
  • Salary: $75,000 – 85,000 per year.
  • Bonus, health benefits (medical, dental and vision), 401k and other valuable perks.
  • 5 days on-site/in-office in NYC.

The above salary range represents Advice's good faith and reasonable estimate of the possible base compensation range at the time of posting and is not reflective of the total compensation package, which may also include benefits, equity and other non-cash incentives.
