Job summary

R.W. Selby & Co., Inc. in Los Angeles, CA seeks a Construction Department Coordinator to provide administrative and operational support to the Construction Department and COO.

You will coordinate daily department activities, manage vendor contracts and invoices, support Project Managers and properties, maintain organized records, and assist with special projects and executive priorities. The ideal candidate is proactive, organized, detail-oriented, and able to handle confidential information

Qualifications

  • 3-5+ years of senior administrative support experience.
  • Construction office experience a plus.

Responsibilities

  • Provide executive and administrative support to the COO and Construction Department, including managing communications, expenses, invoices, reimbursements, and confidential records.
  • Coordinate daily Construction Department operations, including meetings, critical path tracking, vendor contracts, onboarding, and project documentation.
  • Support Project Managers and department leaders by preparing approvals, maintaining records, tracking deliverables, and improving administrative workflows.
  • Serve as a key communication liaison between internal teams, properties, vendors, partners, and executives to ensure timely and effective collaboration.
  • Assist with special projects, reports, presentations, and strategic initiatives while maintaining organization and discretion.

Job description

The Construction Department Coordinator provides administrative and operational support to the Construction Department and Chief Operating Officer. This role coordinates daily department activities, manages vendor contracts and invoices, supports communication between Project Managers and properties, maintains organized records, and assists with special projects and executive priorities.

The ideal candidate is proactive, organized, detail-oriented, and able to manage multiple priorities while handling confidential information with professionalism. Strong communication, problem-solving skills, and the ability to work independently and collaboratively are essential.

To thrive/succeed as the Construction Department Coordinator, you should have:
  • 3-5+ years of senior administrative support experience. Construction office experience a plus.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams), Adobe Acrobat,
  • Strong organizational, multitasking, and project coordination skills.
  • Excellent written and verbal communication abilities.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.
Your responsibilities as the Construction Department Coordinator will include:
