Job summary

Aston Carter seeks a skilled Bookkeeper for our Bridgewater, NJ operations. The role focuses on GAAP-based construction project accounting, budgets, and accurate billing while supporting project managers and operations.

You will handle payroll, invoicing, and vendor payments, ensuring timely month-end closings and strong internal controls. Ideal candidates have ERP experience (Sage 300), familiarity with Textura/Procore, and solid Excel skills.

Qualifications

• Strong understanding of GAAP for construction project accounting.
• Experience with Sage ERP 300.
• Experience with accounting, general ledger, month-end processes, AP/AR.
• Familiarity with billing, change orders, and contract documentation.

Responsibilities

• Transfer budgets into Sage using the project cost code structure and budget export.
• Communicate with Project Managers on contracts, change orders, and billing approvals.
• Review commitments, subcontractor change orders, and general conditions.
• Verify accuracy of previously billed and paid figures on Subcontractor A/P.
• Ensure monthly AIA invoices are sent with supporting documents.
• Process company payroll weekly (check printing, direct deposits).
• Maintain 3-way match for ~150 invoices monthly.
• Produce weekly AP aging and advise on payable invoices for checks.
• Record cash receipts and reconcile variances.
• Process credit card payments.
• Obtain PM approval for subcontractor payments after Owner payment.
• Complete monthly project reconciliations and monthly close around the 15th.
• Collaborate with outside firms for audits.
