Job summary

Mission Resort + Club in United States seeks a Conference & Catering Services Manager to coordinate conferences, weddings, corporate meetings, and catering functions both on-site and off-site. You will act as the primary client contact, ensuring seamless planning and execution with close collaboration across resort departments.

The role calls for 1–3 years in catering/event planning and a proactive, guest-focused approach.

Qualifications

• 1–3 years of experience in catering, conference services, event planning, hospitality, sales, customer service, or equivalent professional experience.
• Preferred: coordinating weddings, corporate meetings, conferences, or catered events.
• Experience coordinating on-site or off-site catering events preferred.
• Familiarity with BEOs, event contracts, and planning procedures.
• Strong organizational and communication skills with attention to detail.

Responsibilities

• Plan, coordinate, and oversee conferences, weddings, corporate meetings, special events, and on-site and off-site catering functions from initial planning through event completion.
• Serve as the primary point of contact for assigned clients, ensuring clear communication and exceptional service throughout the planning process.
• Coordinate event details, including menus, room setups, timelines, audiovisual needs, equipment, and special requests.
• Manage logistical arrangements for off-site catering events, including transportation coordination, equipment and supply requirements, venue communication, setup, service, and breakdown.
• Prepare, review, and distribute Banquet Event Orders (BEOs) and related event documentation to ensure accurate communication across departments.
• Coordinate client contracts, event requirements, and important deadlines.
• Collaborate with Banquets, Culinary, Front Office, Sales, and other resort departments to ensure seamless event execution.
• Conduct client meetings, site visits, and event planning discussions at the resort and off-site venues as needed.
• Address client concerns, last-minute changes, and special requests promptly and professionally.
• Support business development efforts through client relationship management, follow-up communication, and identifying opportunities for future events.

The Opportunity

We are seeking an organized, creative, and service-driven Conference & Catering Services Manager to join our team! In this role, you'll coordinate conferences, weddings, corporate meetings, special events, and on-site and off-site catering functions while serving as a primary point of contact for clients. You'll work closely with resort departments and external partners to ensure every event is thoughtfully planned, professionally executed, and exceeds guest expectations, whether hosted at Mission Resort + Club or at an off-site location.

What We're Looking For

• 1–3 years of experience in catering, conference services, event planning, hospitality, sales, customer service, or equivalent professional experience.
• Previous experience coordinating weddings, corporate meetings, conferences, or catered events preferred.
• Experience coordinating on-site or off-site catering events preferred.
• Familiarity with Banquet Event Orders (BEOs), event contracts, and event planning procedures preferred.
• Strong organizational and logistical planning skills with exceptional attention to detail.
• Excellent written and verbal communication skills.
• Ability to manage multiple events, deadlines, and client relationships simultaneously.
• Professional, proactive, and hands-on approach to guest service and problem-solving.
• Ability to travel to local off-site event locations as needed.
• Flexibility to work evenings, weekends, and holidays as business needs require.
