Qualifications

• Minimum 1 year of front desk or customer service in a medical or veterinary setting.
• Strong verbal and written communication including active listening and conflict resolution.
• Experience with appointment scheduling, multi-line phones, data entry and payment processing.
• Strong organizational skills and ability to multitask in a fast-paced environment.
• Proficient in Microsoft Office; comfortable learning new software and workflows.
• Reliable, punctual, and professional; able to work independently and in a team.
• Genuine affinity for animals and comfort in a clinical setting.

Responsibilities

• Greet and check in clients and patients at the front desk in a welcoming manner.
• Answer and manage a multi-line phone system; direct calls and inquiries.
• Perform client check-out, including payment processing and scheduling future appointments.
• Provide composed customer service to clients experiencing anxiety or distress regarding their pet.
• Enter data accurately and maintain organized records in the practice management system.
• Communicate with clinical staff to relay messages and flag urgent situations.
• Maintain a clean, organized reception and waiting area.
