Job summary

Holding Hands Pediatric Therapy & Adult Services is seeking a full-time Admissions Specialist in Burbank, CA. You will manage the admissions process, verify patient information and insurance, track authorizations, and maintain records with accuracy.

The role requires strong communication, organization, and the ability to work in a fast-paced environment. The position reports to the Director of Billing and Admissions and emphasizes compliance with privacy regulations and collaborative teamwork

Qualifications

• High school diploma or equivalent required.
• At least 6 months of customer service or administrative experience preferred.
• Strong verbal and written communication skills with the ability to interact professionally and compassionately with families, referral sources, and team members.
• Excellent organizational skills with strong attention to detail and follow-through.
• Ability to manage multiple priorities and work effectively in a fast-paced environment.
• Proficiency in Microsoft Office, spreadsheet data entry, and basic computer applications.
• Bilingual in English and Spanish preferred.
• Successful completion of a DOJ background check required.

Responsibilities

• Answer phones and respond to inquiries from families and referral sources regarding the admissions process with empathy and professionalism.
• Collect and verify required admissions documentation, including patient demographics and forms.
• Verify patient eligibility and insurance benefits.
• Request and track authorizations for services.
• Maintain timely and consistent follow-up on pending admissions and cases.
• Accurately update and maintain information in the system of record.
• Collaborate with department coordinators and internal teams to support an efficient admissions process.
• Prioritize tasks effectively and work efficiently in a fast-paced environment.
• Cross-train and provide support in applicable areas of the department as needed.
• Maintain compliance with HIPAA and all applicable privacy and confidentiality requirements.
• Communicate with management regarding operational needs and recommend process improvements.
• Perform other administrative duties as assigned by the Director of Billing and Admissions.
