Business Solutions Manager @ Ultimate Staffing

As a Client Service Coordinator, you will be instrumental in providing a smooth and strategic planning experience for clients involved in trade show events. This full-time, on-site role is based in St. Paul, MN and focuses on managing the logistics and service elements of event execution with a high level of accuracy and professionalism.

Key Responsibilities:

Act as the primary liaison for assigned clients regarding their trade show service and support needs.

Guide clients through the full lifecycle of their projects-from initial request to order processing, production, shipping, and post-show follow-up.

Utilize project management tools to enter key deadlines and organize logistics for trade show events.

Prepare and update accurate show service quotes using vendor pricing and internal estimates.

Build event schedules to track client deliverables, ensuring deadlines are consistently met and feedback is received promptly.

Develop strong working relationships with external vendors and exhibit venues to coordinate services effectively.

Place and manage service orders for client shows, reviewing necessary documentation such as floor plans, electrical layouts, and insurance forms.

Deliver detailed cost estimates, project timelines, and service summaries to clients.

Arrange transportation for exhibit materials to and from event sites.

Coordinate on-site labor for exhibit installation and dismantling.

Collaborate with internal departments and provide backup to fellow team members to ensure smooth execution of each project.

Support daily office operations including supply orders, answering phones, opening/closing duties, and other administrative tasks as needed.

Qualifications:

High School Diploma required; Associate or Bachelor's degree preferred.

At least 2 years of experience in trade shows, event coordination, customer service, or related fields such as retail or hospitality.

Strong communication and organizational skills.

Ability to manage multiple priorities while working under tight deadlines.

Self-driven with excellent time management and follow-through.

Proficiency in Microsoft Office (Outlook, Excel, Word), Adobe Acrobat Pro, and Claris FileMaker or similar database software.

Willingness to respond to show-related communications outside standard business hours, including some evenings and weekends.

Comfortable managing client inventories and tracking assets.

Open to occasional travel-up to two times per year-for out-of-state trade shows (expenses paid).

Team-oriented mindset and a passion for collaborative work environments.

Additional Info:

  • Pay range: $55,000-$65,000 (depending on experience)
  • Schedule: Monday-Friday , 8:00am-5:00pm in office + possible remote communication during nights & weekends - need to be available to check in on event crews and respond to any issues that come up during event setups on the weekends (does not happen often)
  • Location: 100% onsite, Saint Paul
  • Type: Direct Hire
