Job summary

Divorce With A Plan is seeking a Billing Specialist who guides clients through the financial aspects of their divorce, builds strong relationships, and explains complex billing concepts in clear terms. You will educate clients about costs, coordinate with the legal team, and ensure compassionate, transparent communication during a highly stressful life event.

You will manage 100+ relationships, perform daily outbound calls, and uphold structured workflows.

Qualifications

• 2+ years in billing, collections, or accounts receivable in a professional services environment. Law firm experience strongly preferred.
• High comfort with outbound phone calls and client-facing conversations (20+ calls/day).
• Proficiency with practice management software (Clio Manage preferred, or demonstrated ability to learn within 30 days).
• Ability to read and interpret legal invoices, time entries, trust account statements, and engagement agreements.
• Strong written communication for documented escalations, client correspondence, and weekly deliverables.
• Proficiency with Google Workspace (Gmail, Sheets, Calendar, Drive).
• Demonstrated ability to manage 100+ active relationships simultaneously without dropping threads.
• Experience in a family law firm or litigation-focused practice; familiarity with Maryland Rules of Professional Conduct.

Responsibilities

• Be the Client's Financial Guide from Day One and explain cost events clearly.
• Deliver a billing tutorial within five business days of onboarding.
• Conduct a live introductory call to establish the relationship before billing activity.
• Provide dollar ranges for upcoming costs to set expectations.
• Maintain trust balances and keep clients informed about status and options.
• Call every client before replenishment requests and document outcomes.
• Monitor and flag trust balances below thresholds for attorney review.
• Coordinate with attorneys to anticipate events and request additional retainers when needed.
