Divorce With A Plan seeks a Billing Specialist to educate clients on the financial aspects of divorce, guiding them through retainer structures and trust accounting with empathy and clarity.

You will nurture 100–150 client relationships across Maryland, coordinating with the legal team to explain invoices,预测 future costs, and keep clients informed so they feel supported rather than overwhelmed.

Qualifications

• 2+ years in billing, collections, or accounts receivable in a professional services environment.
• High comfort with outbound phone calls and client-facing conversations. 20+ calls per day.
• Proficiency with practice management software (Clio Manage preferred).
• Ability to read and interpret legal invoices, time entries, trust account statements, and engagement agreements.
• Strong written communication for documented escalations, client correspondence, and weekly deliverables.
• Proficiency with Google Workspace.
• Demonstrated ability to manage 100+ active relationships simultaneously without dropping threads.

Responsibilities

• Be the Client's Financial Guide from Day One with a billing tutorial.
• Conduct a live introductory call to walk through materials and establish the relationship.
• Provide specific dollar ranges for upcoming cost events.
• Introduce yourself as a non-billable point of contact for billing questions.
• Keep Trust Accounts Funded and Clients Informed.
• Monitor trust balances daily across 100-150 active client matters.
• Call every client before sending a replenishment request.
• Reference event name and date when requesting additional retainers.
• Flag matters below trust threshold to the assigned attorney the same day.
• Collect with Context, Not Pressure.
• Maintain accounts receivable below 2% of total billings.
• Execute 12-15 outbound calls per day with documentation in Clio.
• Lead billing conversations with a brief case update before addressing the balance.
• Explore payment options when clients cannot pay.
