Job summary

Poulin | Willey Trial Lawyers is seeking a Client Care Professional to be the welcoming face of our office and help clients navigate their legal journey with confidence. You will work closely with attorneys, paralegals, medical providers, insurance representatives, and remote team members to ensure clients receive outstanding service at every step.

We value friendly, organized, and proactive individuals who excel at communication and multitasking in a fast-paced setting.

Qualifications

• High school diploma or equivalent.
• Customer service, reception, hospitality, or administrative experience.
• Strong communication and organizational skills.
• Ability to maintain confidentiality and professionalism.

Responsibilities

• Welcome clients and visitors while creating a warm, professional first impression.
• Answer phone calls, emails, and walk-in inquiries with empathy and professionalism.
• Coordinate communication between clients, attorneys, medical providers, insurance companies, and internal teams.
• Schedule appointments, meetings, and medical visits.
• Maintain accurate client records and documentation within our case management system.
• Track client requests, follow-ups, and outstanding tasks to completion.
• Assist with client disbursements, correspondence, and other administrative support.
• Manage front desk operations including mail, deliveries, office supplies, conference rooms, and office readiness.
• Support onsite and remote teammates to ensure an outstanding client experience.
