Job summary

It’s A Secret Med Spa is seeking a confident Client Concierge to warmly greet clients, manage front desk duties, and ensure a superior patient experience. You will assist with scheduling, maintain a clean, professional environment, and uphold HIPAA guidelines across all interactions.

The role requires excellent written and verbal communication, a flexible weekend schedule, and the ability to multitask in a fast-paced med spa setting.

Qualifications

• Previous customer service experience (1 year).
• Flexible schedule with the ability to work weekends.
• Med spa or medical office experience preferred.
• Excellent written and verbal communication skills.
• Ability to communicate with proper etiquette.
• Ability to multitask while remaining attentive to clients.

Responsibilities

• Greet clients in person and over the phone with warmth and professionalism.
• Handle front desk duties: check-in/out, answer calls, manage inventory and supplies.
• Maintain a clean and professional environment throughout the facility.
• Assist providers and managers with client scheduling and appointment books.
• Follow company policies to ensure streamlined processes at the location.
• Manage POS system accurately with client and employee data.

It's A Secret Med Spa is looking for a confident, driven, and enthusiastic Client Concierge to join our team. This position plays a vital role in our company's success by intaking patients, providing an exceptional experience, and ensuring all patient needs are met.

A Day in the Life of the Client Concierge

• Warmly greeting clients in person and over the phone. Providing basic knowledge and education about our wide variety of services.
• Manage front desk duties such as checking patients in/out, answering phone calls, greeting clients, overseeing inventory counts, and keeping supplies fully stocked while ensuring a positive and warm experience for our clients
• Maintain a clean and professional environment throughout the facility
• Assistant providers and managers with client scheduling and maintaining the appointment books.
• Comply with all company policies and procedures to ensure streamlined processes within the location
• Ensure POS system is managed effectively and accurately with all client appointment and employee information added.

Required Skills, Qualifications, and Experience

• Previous customer service experience (1 year)
• Flexible schedule with the ability to work weekends
• Previous experience working in a med spa or medical office preferred
• Excellent written and verbal communication skills
• Ability to communicate with proper etiquette
• Ability to multi-task while being attentive to clients and remaining flexible to the needs of the business
• Ability to work as part of a team and take initiative
• Enthusiastic, friendly and energetic personality with a genuine desire to provide outstanding service
• Must Maintain patient/client confidentiality in accordance with HIPAA regulations and company policy
• Must maintain a high level of integrity with a strong ethical foundation
• Must have sound judgment, problem solving, and decision-making skills
• Must be able to sit or stand for long periods of time
• Must be able to reach above shoulder height, crawl, kneel, and push/pull up 50 lbs.
