Job summary

It’s A Secret Med Spa in Plano, TX is seeking a Client Concierge to warmly greet clients, share service knowledge, and manage front desk duties. You’ll support providers, maintain an inviting reception, and help keep appointment books accurate and organized.

The role requires excellent communication, a friendly demeanor, and the ability to multitask in a fast-paced spa environment, while upholding HIPAA standards and company policies.

Qualifications

• 1 year of customer service experience preferred.
• Flexible schedule including weekends.
• Experience in a med spa or medical office is preferred.
• Excellent written and verbal communication skills.
• Ability to communicate with proper etiquette.
• Ability to multi-task and stay flexible to business needs.
• Team player with initiative.
• Maintain patient confidentiality per HIPAA and company policy.
• Strong integrity and judgment.
• Ability to sit or stand for long periods.
• Ability to reach above shoulder height and perform light physical tasks.
• Proficient in Microsoft applications.

Responsibilities

• Greet clients in person and by phone and educate them about services.
• Manage front desk tasks: check-in/out, answer calls, greet clients, manage inventory and supplies.
• Maintain a clean, professional environment.
• Assist providers and managers with scheduling and appointment books.
• Adhere to company policies to ensure smooth operations.
• Ensure POS system is updated with client and employee information.

A Day in the Life of the Client Concierge

• Warmly greeting clients in person and over the phone. Providing basic knowledge and education about our wide variety of services.
• Manage front desk duties such as checking patients in/out, answering phone calls, greeting clients, overseeing inventory counts, and keeping supplies fully stocked while ensuring a positive and warm experience for our clients
• Maintain a clean and professional environment throughout the facility
• Assistant providers and managers with client scheduling and maintaining the appointment books.
• Comply with all company policies and procedures to ensure streamlined processes within the location
• Ensure POS system is managed effectively and accurately with all client appointment and employee information added.

Required Skills, Qualifications, and Experience

• Previous customer service experience (1 year)
• Flexible schedule with the ability to work weekends
• Previous experience working in a med spa or medical office preferred
• Excellent written and verbal communication skills
• Ability to communicate with proper etiquette
• Ability to multi-task while being attentive to clients and remaining flexible to the needs of the business
• Ability to work as part of a team and take initiative
• Enthusiastic, friendly and energetic personality with a genuine desire to provide outstanding service
• Must Maintain patient/client confidentiality in accordance with HIPAA regulations and company policy
• Must maintain a high level of integrity with a strong ethical foundation
• Must have sound judgment, problem solving, and decision-making skills
• Must be able to sit or stand for long periods of time
• Must be able to reach above shoulder height, crawl, kneel, and push/pull up 50 lbs.
• Must have a working knowledge of Microsoft applications
