Job summary

It’s A Secret Med Spa is seeking a confident Client Concierge to join our team. You will greet clients, educate them on our wide range of services, handle front desk duties, assist providers with scheduling, and maintain a professional, welcoming environment.

The role requires 1 year of customer service, weekend availability, and strong communication skills. Healthcare benefits, 401k, and discount programs are included in benefits package.

Qualifications

• 1 year of customer service experience required.
• Flexible schedule including weekend availability.
• Experience in a med spa or medical office preferred.
• Excellent written and verbal communication skills.
• Ability to multitask while meeting client needs.
• Team player with initiative and energy.
• Maintain patient confidentiality per HIPAA and company policy.
• Must be able to lift up to 50 lbs and reach above shoulder height.
• Proficiency with Microsoft applications.

Responsibilities

• Warmly greet clients in person and by phone, provide service education.
• Manage front desk tasks: check-in/out, calls, greet clients, inventory, supplies.
• Maintain a clean, professional environment throughout the facility.
• Assist providers and managers with scheduling and appointment books.
• Follow company policies to ensure streamlined location processes.
• Accurately manage the POS system with client and staff data.

It’s A Secret Med Spa is looking for a confident, driven, and enthusiastic Client Concierge to join our team. This position plays a vital role in our company's success by intaking patients, providing an exceptional experience, and ensuring all patient needs are met.

A Day in the Life of the Client Concierge

• Warmly greeting clients in person and over the phone. Providing basic knowledge and education about our wide variety of services.
• Manage front desk duties such as checking patients in/out, answering phone calls, greeting clients, overseeing inventory counts, and keeping supplies fully stocked while ensuring a positive and warm experience for our clients
• Maintain a clean and professional environment throughout the facility
• Assistant providers and managers with client scheduling and maintaining the appointment books.
• Comply with all company policies and procedures to ensure streamlined processes within the location
• Ensure POS system is managed effectively and accurately with all client appointment and employee information added.

Required Skills, Qualifications, and Experience

• Previous customer service experience (1 year) required
• Flexible schedule with the ability to work weekends
• Previous experience working in a med spa or medical office preferred
• Excellent written and verbal communication skills
• Ability to multi-task while being attentive to clients and remaining flexible to the needs of the business
• Ability to work as part of a team and take initiative
• Enthusiastic, friendly and energetic personality with a genuine desire to provide outstanding service
• Must Maintain patient/client confidentiality in accordance with HIPAA regulations and company policy
• Must maintain a high level of integrity with a strong ethical foundation
• Must be able to reach above shoulder height, crawl, kneel, and push/pull up 50 lbs.
• Must have a working knowledge of Microsoft applications
• Bilingual preference given
• Other duties as assigned
• Must work a minimum of 30 hours per week
