Job summary

FYZICAL Therapy & Balance Centers – Sanibel is hiring a part-time Client Care Specialist to be the first point of contact for patients, coordinate care, and support administrative duties. Training will be provided. The role requires strong customer service, scheduling, and clerical skills in a fast-paced clinical environment.

Qualifications

• High school diploma or GED required.
• Excellent communication skills are essential.
• Proficiency in Microsoft Office products.
• Ability to multitask and manage competing priorities.
• Capable of working autonomously.
• Positive and empathetic approach with patients.

Responsibilities

• Greet patients, visitors, and vendors upon arrival at clinic.
• Collect new patient intake information and track referrals.
• Manage patient scheduling and enter appointments into scheduler.
• Send appointment reminders via phone, text, or email.
• Answer phone, respond to inquiries, or direct to the appropriate party.
• Coordinate evaluations and reminders; handle cancellations.
• Record appointment statuses and reschedule as needed.
• Verify insurance and track covered vs. non-covered visits.
• Process payments and ensure pre-authorizations are completed.
• Communicate scheduling issues to Office Manager.
• Submit paperwork to insurance carriers for coordination of benefits.
• Ensure daily notes and billing codes are completed by therapists.
• Order equipment and office/medical supplies as needed.
• Assist therapist with setup, cleanup, and light tasks when needed.
• Perform other duties as assigned.
