Job summary

Southern Caregivers is seeking a Scheduling Coordinator to manage assigned client schedules, coordinate between clients, caregivers, and office staff, and ensure EVV compliance in Arkansas. The role requires strong communication, organization, and the ability to handle a high-volume workload with accuracy.

The candidate will maintain up-to-date client rosters, handle calls, and escalate issues as needed while adhering to AR Rules and Regulations.

Qualifications

• High School Diploma.
• Ability to recognize an emergency situation and take appropriate actions.
• Ability to establish and maintain working relationships with clients, co-workers, caregivers, and the public.
• Must be able to complete a heavy workload within established time frames.
• Work independently and identify potentially more effective methods of work operation.
• Must be able to effectively communicate expectations and directions to field staff.

Responsibilities

• Direct supervisor to contracted caregivers and act as liaison for caregivers and office staff.
• Maintain knowledge of policies, EVV system, and AR Rules and Regulations.
• Maintain a current client roster and communicate updates to the care team.
• Participate in rotating scheduling calls and provide backup as needed.
• Ensure EVV compliance and real-time scheduling updates.
• Coordinate schedule changes and obtain client approvals.
• Monitor visits and ensure care logs are completed within one week.
• Assign client visit ADLs/IADLs per authorization and care plan.
• Answer scheduling lines and address issues in real time.
• Escalate concerns to appropriate staff and coordinate with clients.
• Address late alerts within 30 minutes of shift start.
• Maintain communication with clients and replacement staff as needed.
• Forecast future openings and notify supervisor of marketing needs.
• Reach out to new clients within 48 hours of conversion.
• Document client and caregiver charts clearly.
• Review PC/AC hours for AR Choice clients.
• Monitor caregiver utilization and adherence to policy.
• Notify management of uncertified caregivers for PCA courses.
• Review visits for payroll/billing preparation every 2 days (excluding weekends).
• Participate in weekly office meetings.
