Job summary

West Seattle Animal Hospital is seeking a friendly Client Care Receptionist to join our team. You will greet clients, manage calls, schedule appointments, and support clients during stressful situations while maintaining a warm and professional front desk presence.

This role emphasizes compassionate customer service, organizational skills, and the ability to stay calm under pressure in a busy veterinary setting.

Qualifications

• Minimum two years of customer-service experience in person and over the phone.
• Experience in an office or medical environment preferred.
• At least one year of animal-care or veterinary experience is highly preferred.
• Excellent verbal and written communication skills.
• Exceptional customer-service and interpersonal skills.
• Experience using multi-line phone systems.
• General computer skills including Microsoft Office and Google Chrome.

Responsibilities

• Greet clients and patients warmly and professionally.
• Answer and manage a multi-line phone system while balancing priorities.
• Recognize urgent or emergency situations and communicate with the medical team.
• Schedule various veterinary appointment types.
• Check clients and patients in and out.
• Coordinate communication among clients, veterinarians, technicians, and hospital staff.
• Maintain accurate patient records and client information.
• Prepare and process invoices and payments.
• Handle cash and other financial transactions accurately.
• Communicate hospital services, recommendations, and information clearly.
• Help clients understand next steps from the medical team.
• Prepare and clean exam rooms as needed.
