Job summary

Lamar Consolidated ISD is seeking a detail-oriented Payroll Clerk/Administrative Assistant to assist in administering the district's payroll functions with confidentiality and accuracy.

You will process timecards, maintain attendance records in UKG, respond to inquiries, train staff on time-keeping procedures, and support payroll operations per board policies.

Qualifications

  • Knowledge of payroll and accounting procedures including federal and state laws.
  • Knowledge of Federal Wage and Hour laws.
  • Ability to exercise independent decision making.
  • Ability to stay informed of new payroll rules and regulations.
  • Ability to communicate effectively and courteously with district personnel.

Responsibilities

  • Process timecards/timesheets.
  • Ensure accuracy of attendance records (UKG) for federal wage and hour compliance.
  • Assist Payroll Specialist in processing payroll.
  • Maintain district records per retention schedule.
  • Maintain overpayment spreadsheet and issue letters.
  • Provide training to campus staff on time-keeping procedures.
  • Assist with sick leave bank spreadsheets and board policies.
  • Serve as back up in payroll staff absences.
  • Maintain confidentiality of department information.

Job description

JOB DESCRIPTION:

Primary Purpose:To assist in the administration of the payroll functions of the District in a manner that preserves confidentiality andprojects a professional image of the department.

RESPONSIBILITIES:
Major Responsibilities and Duties
  • 1. Perform all job duties in a confidential and responsible manner, demonstrating good judgment.
  • 2. Respond to general employee inquires and further direct specific inquires to appropriate staff.
  • 4. Process timecards/timesheets.
  • 6. Ensure accuracy of attendance records (UKG) for all employees for compliance with Federal Wage and
  • Hour Laws.
  • 7. Assist Payroll Specialist-Instructional with the processing of payroll.
  • 8. Maintain records per the District’s record retention schedule.
  • 9. Maintain overpayment spreadsheet and issue overpayment letters.
  • 10. Process and review bus trip information.
  • 11. Assist with the training of all campus and departmental staff responsible for time keeping procedures.
  • 12. Maintain spreadsheet for sick leave bank as per board policy.
  • 13. Serve as back up in the absence of other departmental staff.
  • 14. Maintain confidentiality of department information.
  • 15. Attendance at work is an essential function.
  • 16. Perform other duties as assigned by the Payroll Coordinator or designee.
EXPERIENCE:
  • Accounts payable experience preferred
QUALIFICATIONS:
  • High school diploma
  • 15 credited college hours or three years of experience as an administrative assistant or similar office experience preferred
Special Knowledge/Skills:
  • Knowledge of payroll and accounting procedures including federal and state laws pertaining to the process
  • Knowledge of Federal Wage and Hour laws
  • Ability to exercise independent decision making
  • Ability to stay informed of new rules and regulations as relating to the payroll function
  • Ability to communicate effectively and courteously with district personnel
OTHER INFORMATION:
Equipment Used

Computer for specialized data entry, word processing, spreadsheet applications, printer, typewriter, copy machine, calculator, telephone, check sealer/mailer.

Working Conditions
Mental/Physical Demands/Environmental Factors:

Light lifting and carrying (under 15 pounds), use of fingers, walking, specific visual requirements (using computer), specific hearing requirements (telephone conversations).
