Job description

Payroll Specialist I

Position Purpose: Performs complex payroll functions to ensure efficient and effective payroll operation and completion. Provides assistance to supervisor, school and central office personnel and the general public as required.

Essential Functions:

  • Verify employee information and execute additions, deletions and changes for payroll.
  • Maintain employee leave and attendance records; generate reports as directed or assigned.
  • Input employee deductions including tax, retirement, credit union, or other relevant data.
  • Process direct deposit notifications via Frontline.
  • Assist with timesheet data entry.
  • Assist with processing authorized stipend payments.
  • Assist Payroll Administrator during payroll processing.
  • Assist with collection of payroll overpayments.
  • Maintain employee garnishments.
  • Verify and process homebound teacher payments.
  • Recall of payroll advices.
  • Process payroll vendor payments biweekly and monthly.
  • Perform clerical payroll duties including scanning and filing of payroll documents; sort and distribute direct deposit advices.
  • Assist in training school‑based payroll staff.
  • Maintain the integrity of confidential information and data security in compliance with local, state and federal guidelines.

Additional Duties: Performs other related tasks as assigned by the Payroll Administrator, Director of Finance, Chief Financial Officer, Superintendent, or other district office administrator.

Qualifications:

  • Minimum: High school diploma and one-year college or technical certificate (or equivalent) and one-year experience, or two years related experience.
  • Preferred: High school diploma and two-year college or technical certificate and two years’ experience, or four years related experience.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages is essential.

Experience: Requires attention to detail and demonstrated skill and knowledge of financial databases, spreadsheets, and word‑processing software. Demonstrates strong organizational and time‑management skills, a strong work ethic, professional attitude, strong problem‑solving skills, data analysis ability, and the ability to work accurately and independently as well as with a team in a fast‑paced, high‑volume environment.

Physical Demands: Use strength to lift items as needed; sit, stand and walk for required periods; speak and hear; use close vision, color vision, peripheral vision, and depth perception; communicate effectively in English; use hands and arms to handle objects and operate tools, technology, computers, and controls.

Workplace Expectations: Work effectively with and respond to diverse cultures or backgrounds; demonstrate professionalism and appropriate judgment in behavior, speech, and dress; have regular and punctual attendance; follow all district policies and reasonable requests by authorities; adhere to confidentiality as directed by federal, state, and local laws and district regulations.

Salary Classification: Paid on the Classified Staff Salary Schedule - Level 110
