Responsibilities

• Timekeeping: review timesheets, calculate overtime, maintain schedules, and enter time in SAP.
• Public interaction: assist callers, visitors, and email inquiries with information or referrals.
• Record management: maintain files, databases, and conference room reservations.
• Dispatch and reporting: assist dispatcher duties and record fire and weather information.
• Permit and revenue processing: issue and enter camping, fuelwood, stone permits and other sale items via Aspira.
• Office operations: prepare mail, type correspondence, open IT tickets, maintain supplies.

THE POSITION

DESCRIPTION OF WORK

This position plays an important role in supporting office operations, assisting staff, and helping the public.

• Timekeeping Support: Review timesheets, calculate overtime, maintain work schedules, and enter time in SAP


• Public Interaction: Assist callers, visitors, and email inquiries by providing information or directing them to the correct staff member


• Record Management: Maintain files, Hazardous Substance database, automotive database, and conference room reservation system


• Dispatch and Reporting: Assist with dispatcher duties, and record fire and weather information


• Permit and Revenue Processing: Issue and enter camping permits, fuelwood permits, stone permits, and other sale items via Aspira system


• Office Operations: Prepare mail, type correspondence, open IT tickets, and maintain office supplies and publications

Work Schedule and Additional Information

• Full-time employment, 37.5 hours per week.


• Work hours are 8:00AM to 4:00PM, Monday thru Friday with a 30-minute lunch.
  
  
  
  • Occasional travel is required to attend meetings, workshops, or trainings relevant to the position.
  
  
  • Overtime may be required in emergency situations such as wildfire suppression and search and rescue.

• Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $36,831 (before taxes). REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

• Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or

• An equivalent combination of experience and training.
