Job summary

Pinpoint Precision Engineering is seeking a highly organized Project Coordinator – Civil Engineering & Infrastructure to join our Chicago team. This role works with Project Managers, Engineers, clients, agencies, and subconsultants to keep projects organized, financially sound, on schedule, and moving forward.

A degree is not required, but related experience and strong coordination skills are essential for success. This is not a traditional admin role and PE licensure is not required.

Qualifications

• Engineering degree and PE license are not required.
• Equivalent relevant professional experience will be considered.
• Experience in civil engineering, transportation, infrastructure, construction, or AEC consulting is a plus.

Responsibilities

• Coordinate project schedules, milestones, deadlines, meetings, and deliverables.
• Support Project Managers with day-to-day project administration and project controls.
• Prepare meeting agendas and minutes and track action items through completion.
• Maintain organized project files, correspondence, contracts, reports, and documentation.
• Assist with monitoring project budgets, labor hours, expenditures, and financial performance.
• Support monthly client invoicing and coordinate billing documentation.
• Track contracts, amendments, task orders, work authorizations, purchase orders, and subconsultant agreements.
• Coordinate information among engineers, clients, public agencies, consultants, and subconsultants.
• Assist with subconsultant invoice and compliance documentation.
• Support project forecasting and work-in-progress reviews.
• Assist with proposals, statements of qualifications, resumes, project sheets, forms, and submissions.
• Proactively follow up on outstanding project items and deadlines.
• Help improve PPE's internal project coordination and management processes.
