Job summary

Pinpoint Precision Engineering is seeking a highly organized Project Coordinator – Civil Engineering & Infrastructure to join our Chicago team. This role works with Project Managers, Engineers, clients, agencies, and subconsultants to keep projects organized, financially sound, on schedule, and moving forward.

A degree is not required, but related experience and strong coordination skills are essential for success. This is not a traditional admin role and PE licensure is not required.

Qualifications

• Engineering degree and PE license are not required.
• Equivalent relevant professional experience will be considered.
• Experience in civil engineering, transportation, infrastructure, construction, or AEC consulting is a plus.

Responsibilities

• Coordinate project schedules, milestones, deadlines, meetings, and deliverables.
• Support Project Managers with day-to-day project administration and project controls.
• Prepare meeting agendas and minutes and track action items through completion.
• Maintain organized project files, correspondence, contracts, reports, and documentation.
• Assist with monitoring project budgets, labor hours, expenditures, and financial performance.
• Support monthly client invoicing and coordinate billing documentation.
• Track contracts, amendments, task orders, work authorizations, purchase orders, and subconsultant agreements.
• Coordinate information among engineers, clients, public agencies, consultants, and subconsultants.
• Assist with subconsultant invoice and compliance documentation.
• Support project forecasting and work-in-progress reviews.
• Assist with proposals, statements of qualifications, resumes, project sheets, forms, and submissions.
• Proactively follow up on outstanding project items and deadlines.
• Help improve PPE's internal project coordination and management processes.

Pinpoint Precision Engineering (PPE) is seeking a highly organized, proactive, and detail-oriented Project Coordinator – Civil Engineering & Infrastructure to join our growing Chicago team.

**This is not a traditional administrative support position, or an engineering design position. An engineering degree and Professional Engineer (PE) license are not required.

As a Project Coordinator at PPE, you will work directly with Project Managers, Engineers, clients, agencies, and subconsultants to help keep civil engineering and infrastructure projects organized, financially sound, on schedule, and moving forward.

What You’ll Do

You will support multiple engineering projects throughout their lifecycle, including:

• Coordinate project schedules, milestones, deadlines, meetings, and deliverables.
• Support Project Managers with day-to-day project administration and project controls.

What We're Looking For

Preferred experience: 2–5 years

in project coordination, project administration, engineering administration, construction administration, project controls, or a related position.

An associate or bachelor's degree in Business Administration, Construction Management, Engineering, Project Management, Communications, or a related discipline is preferred. Equivalent relevant professional experience will also be considered.

• Civil engineering, transportation, infrastructure, construction, architecture, or AEC consulting.
• Transportation and public infrastructure projects.
• Engineering project accounting and invoicing.
• Project controls and budget tracking.
• Consultant or subconsultant contract administration.
• Proposal and qualifications preparation.
• Deltek, Microsoft Project, SharePoint, Bluebeam, or comparable project/document management systems.
• Projects involving IDOT, Illinois Tollway, CDOT, CTA, Metra, CDWM, municipalities, or other Illinois public agencies.
