Constellation in Philadelphia, PA is seeking a Catering Sales Coordinator to support the Director of Catering and the Sales Manager in planning and executing events at Duane Morris. The role emphasizes coordination, detail, and timely communication.

You will manage event details in CaterXpert, assist with setup, and ensure payments are collected on time while collaborating with sales, culinary, and venue staff. This is a hands-on position for someone with catering/events experience.

Qualifications

• Must have 2 years of catering/food-beverage and/or administrative/event experience.
• Strong organization and communication skills.

Responsibilities

• Support Director of Catering and sales team to ensure flawless event execution.
• Maintain up-to-date event information in CaterXpert and schedules in Outlook.
• Assist in setup and execution of events, including deliveries and pickups.
• Coordinate with sales, culinary and booking staff to meet client needs.
• Process payments and deposits for contracted events and monitor AR as needed.

The Role at a glance:

We are looking for a Catering Sales Coordinator to add to our Constellation team at Duane Morris in Philadelphia, PA . This is a great opportunity if you have a catering events background and you have had experience planning and executing those events. You’ll be directly supporting the needs/goals of the Director of Catering as well as the Catering Sales Manage and the Event Specialist. If you are looking to advance your career in managing catering events, this is a great role for you.

What you’ll be doing:

• Working as a member of a cohesive operations team supporting the Director of Catering and sales team, as well as the General Manager to enable perfect event execution. This individual functions as a support to the Event Manager and Captains, as well as sometimes acting as a junior sales specialist when business levels are high. The Catering Manager maintains a positive, “win-win” attitude, always working to improve the execution and timeliness of their team.
• Ensuring all event information in CaterXpert from the sales team is up to date and fully detailed prior to event/deadlines.
• Assisting in the setup and execution of events
• Ensure that event rentals have scheduled deliveries and pickups that are convenient for specialist or venue manage
• Maintain calendar of events through Outlook and attend all necessary event meetings and conference calls.
• Communicate with sales, culinary and booking staff, as needed, to ensure understanding of menus and client need
• Responsible for the collection and submission of all payments and deposits as it relates to contracted events. They are responsible for ensuring that these payments are on time and responsible for reviewing the weekly AR report and correcting any discrepancies and/or collecting any late payments.
