Job summary

Elior North America is seeking a Catering Sales Coordinator for the Constellation team at the Perez Art Museum in Miami, FL. The role supports the Director of Catering and Sales Manager to execute flawless events and ensure client satisfaction.

Responsibilities include maintaining CaterXpert data, coordinating event logistics, and managing payments and deposits while collaborating with culinary and event staff. Excellent organizational and communication skills are essential.

Qualifications

• 2 years of catering/food-beverage and/or administrative/event experience.
• Basic PC knowledge and comprehension (Word & Excel).

Responsibilities

• Support the Director of Catering, Sales Manager and Event Specialist to ensure flawless event execution.
• Maintain and update event information in CaterXpert before deadlines.
• Assist in setup and execution of events.
• Coordinate deliveries and pickups for event rentals with venue management.
• Maintain calendar of events in Outlook; attend meetings and conference calls.
• Communicate with sales, culinary and booking staff to ensure menus and client needs are understood.
• Collect and submit payments and deposits related to contracted events; review weekly AR and address discrepancies.

The Role at a glance:

We are looking for a Catering Sales Coordinator to add to our Constellation team at the Perez Art Museum in Miami, FL. This is a great opportunity if you have a catering events background and you have had experience planning and executing those events. You’ll be directly supporting the needs/goals of the Director of Catering as well as the Catering Sales Manager and the Event Specialist. What you'll be doing:

• Working as a member of a cohesive operations team supporting the Director of Catering and sales team, as well as the General Manager to enable perfect event execution. This individual functions as a support to the Event Manager and Captains, as well as sometimes acting as a junior sales specialist when business levels are high. The Catering sales coordinator maintains a positive, “win-win” attitude, always working to improve the execution and timeliness of their team.
• Ensuring all event information in CaterXpert from the sales team is up to date and fully detailed prior to event/deadlines.
• Assisting in the setup and execution of events.
• Ensure that event rentals have scheduled deliveries and pickups that are convenient for specialist or venue management.
• Maintain calendar of events through Outlook and attend all necessary event meetings and conference calls.
• Communicate with sales, culinary and booking staff, as needed, to ensure understanding of menus and client needs.
• Responsible for the collection and submission of all payments and deposits as it relates to contracted events. They are responsible for ensuring that these payments are on time and also responsible for reviewing the weekly AR report and correcting any discrepancies and/or collecting any late payments.
