Constellation, at Duane Morris in Philadelphia, PA, seeks a Catering Sales Coordinator to support the Director of Catering, the Catering Sales Manager and the Event Specialist in planning and executing events.

You will coordinate event details, update CaterXpert data, assist in setup and execution, manage deliveries, calendars, and payments to ensure smooth, on-time events and client satisfaction.

Qualifications

• 2 years of catering/food-beverage and/or administrative/event experience.
• Basic PC knowledge and Word & Excel proficiency.

Responsibilities

• Work as a member of the operations team to support the Director of Catering and sales team, and assist the General Manager to execute events smoothly.
• Ensure all event information in CaterXpert is up to date and detailed prior to deadlines.
• Assist in the setup and execution of events.
• Schedule and coordinate deliveries/pickups for event rentals with venue management.
• Maintain calendar of events in Outlook and participate in event meetings/conference calls.
• Communicate with sales, culinary and booking staff to ensure menu understanding and client needs.
• Collect and submit payments and deposits for contracted events; monitor AR and late payments.

The Role at a glance:

We are looking for a Catering Sales Coordinator to add to our Constellation team at Duane Morris in Philadelphia, PA . This is a great opportunity if you have a catering events background and you have had experience planning and executing those events. You’ll be directly supporting the needs/goals of the Director of Catering as well as the Catering Sales Manage and the Event Specialist. If you are looking to advance your career in managing catering events, this is a great role for you.

What you'll be doing:

• Working as a member of a cohesive operations team supporting the Director of Catering and sales team, as well as the General Manager to enable perfect event execution. This individual functions as a support to the Event Manager and Captains, as well as sometimes acting as a junior sales specialist when business levels are high. The Catering Manager maintains a positive, “win-win” attitude, always working to improve the execution and timeliness of their team.
• Ensuring all event information in CaterXpert from the sales team is up to date and fully detailed prior to event/deadlines.
• Assisting in the setup and execution of events
• Ensure that event rentals have scheduled deliveries and pickups that are convenient for specialist or venue manage
• Maintain calendar of events through Outlook and attend all necessary event meetings and conference calls.
• Communicate with sales, culinary and booking staff, as needed, to ensure understanding of menus and client need
• Responsible for the collection and submission of all payments and deposits as it relates to contracted events. They are responsible for ensuring that these payments are on time and responsible for reviewing the weekly AR report and correcting any discrepancies and/or collecting any late payments.

Compensation Range

$25-$28 an hour.
