Job summary

The Inn at Rancho Santa Fe is seeking a Catering Coordinator to orchestrate memorable meetings and celebrations with flawless detail and warm hospitality. You’ll be the behind-the-scenes mastermind, coordinating menus, room setups, and guest experiences to ensure every event shines.

Working closely with clients and the hotel team, you’ll handle inquiries, contracts, BEOs, and schedules, while maintaining communication logs and upholding our standards of service.

Qualifications

• High school diploma or equivalent required.
• Bachelor’s degree preferred, with 1+ year hotel/event experience.
• Strong verbal and written communication skills.

Responsibilities

• Coordinate and negotiate all event details, collaborate with clients on menus, setups, and sleeping rooms, and tackle upsell opportunities.
• Respond to inquiries, book events, prepare contracts and BEOs, and maintain weekly packets and critical date reminders.
• Post schedules, assist with event collateral like vouchers and signage, and organize all files and VIP requests for the crew.
• Type and distribute correspondence, handle phones and messages, and keep trace logs updated for CS/Catering team.
• Maintain friendly, attentive service, uphold company standards, and jump in where needed.

EDUCATION & EXPERIENCE

• High school diploma (or equivalent) required; bachelor’s degree preferred, with at least 1 year of relevant hotel or event experience.
• Proficient in Windows operating systems and possesses strong verbal and written communication skills.
• Demonstrates quick, accurate decision-making and maintains composure under pressure.
• Skilled at problem-solving and comfortable working with financial information and basic math.
