Assisting Hands Home Care in San Jose, CA is seeking an experienced Scheduler to anchor daily operations and caregiver coordination. The role requires juggling shifting schedules, calls, and priorities while staying calm and organized.

You will collaborate with management to improve efficiency, participate in after-hours on-call, and step in to cover caregiving shifts when needed.

Qualifications

• Ideally 2+ years of scheduling experience in home care, home health, or senior care.
• Calm, organized, and decisive when plans change fast.
• Ability to handle frequent scheduling changes and priorities.
• Clear, warm communicator by phone and text.
• Hands-on caregiving experience and willingness to work caregiving shifts as needed.
• Working knowledge of California HCA/CDSS requirements.
• Experience with home care scheduling software (AxisCare preferred).

Responsibilities

• Match caregivers to clients based on needs, location, availability, skills and fit.
• Build and maintain schedules in scheduling software.
• Look ahead for gaps and unassigned shifts; keep availability current.
• Cover last-minute call-offs quickly from a backup pool.
• Verify caregiver compliance (HCA registration, TB, CPR) before assignments.
• Verify clock-ins/outs and visit notes ahead of payroll.
• Send next-day visit reminders and brief caregivers before start.
• Follow up weekly with caregivers and clients; escalate concerns.
• Share coverage gaps with recruiting/training; participate in on-call rotation.
• Step in to provide hands-on caregiving shifts when needed.

The Role

We're looking for an experienced Scheduler to be the anchor of our office – someone who enjoys caregiver scheduling while keeping day-to-day operations steady, even when the day doesn't go as planned. Home care moves fast: schedules shift, calls come in, priorities change by the hour. We need someone who stays calm under pressure and juggles it all without dropping the ball.

You'll collaborate closely with the management team to strengthen and improve operational efficiency. This role includes taking part in the after-hours on-call rotation and stepping in to cover caregiving shifts when needed.

• Build and maintain schedules in scheduling software, including ADLs, client instructions, and caregiver app setup
• Look ahead for gaps and unassigned shifts; keep caregiver availability current
• Cover last-minute call-offs quickly from a ready backup pool
• Confirm caregiver compliance (HCA registration, TB, CPR) before new assignment
• Verify daily clock-in/out and visit notes/accuracy ahead of payroll
• Send next-day visit reminders and brief caregivers before new client starts
• Follow up weekly with caregivers and clients; escalatethe concerns to management
• Share coverage gaps with recruiting and training
• Take part in the after-hours on-call rotation, including some evenings and weekends
• Step in to provide hands-on caregiving shifts when coverage requires it
